VNCcontacts+ App User Manual

Getting started

Edit the profile information

  1. Tap the hamburger menu:

  2. Tap the profile photo icon:

  3. Tap the pencil icon:

  4. Edit the fields and tap the checkmark at the top.

Upload the profile photo

  1. Tap the hamburger menu:

  2. Tap the profile photo icon:

  3. Tap the pencil icon:

  4. Tap the camera icon:

  5. Tap Upload and select required photo/picture, and crop it.

  6. Tap Done and tap the checkmark at the top.

Remove the profile photo

  1. Tap the hamburger menu:

  2. Tap the profile photo icon:

  3. Tap the pencil icon:

  4. Tap the camera icon:

  5. Tap Remove and tap the checkmark at the top.

Set the language

It is possible to set 2 languages: English and German.

  1. Tap the hamburger menu:

  2. Tap Settings and select required language from Language drop-down menu.

  3. Tap the checkmark at the bottom.

Check VNCcontacts+ version

  1. Tap the hamburger menu:

  2. Navigate to Help -> App Info.

Create an incident in VNC Service Desk

  1. Tap the hamburger menu:

  2. Navigate to Help -> VNC service desk.

  3. Tap Visit VNC service desk. You should be redirected to VNCproject. Fill in the fields. The fields with the asterisk are required. If you need to attach something - click Browse at the bottom.
  4. Tap Create at the bottom.

Access "Terms of use"

  1. Tap the hamburger menu:

  2. Navigate to Help -> Legal Notice -> Terms of use.

Access "Data Privacy"

  1. Tap the hamburger menu:

  2. Navigate to Help -> Legal Notice -> Data Privacy.

Access "User Manual"

  1. Tap the hamburger menu:

  2. Navigate to Help -> User Manual.

  3. Tap required URL.

Log out

To log out, tap the hamburger menu:

Then tap Logout.

Contacts

If you click a contact in VNCcontacts+ App you should see the following, for example:

  • 1 - "Recent activity" icon. If you tap the icon, you should see the following tabs that contain the information about your recent activities in other VNC products:
Tab Description
All Contains your recent activities in VNCtalk, VNCmail, VNCtask, VNCproject.
Chats Contains your recent activities in VNCtalk.
Calls Contains your recent activities in VNCtalk.
Emails Contains your recent activities in VNCmail.
Tasks Contains your recent activities in VNCtask.
Tickets Contains your recent activities in VNCproject.
Incidents Contains your recent incidents in VNC Service Desk.

If you click any message in Chats tab, you will be redirected to this chat in VNCtalk.

  • 2 - actions panel. The panel consists of buttons that launch some actions in a corresponding VNC product:
Button Action
Audio call Redirects to VNCtalk and starts an audio call with a contact.
Video call Redirects to VNCtalk and starts a video call with a contact.
Chat Redirects to VNCtalk and starts a chat with a contact.
Share screen Redirects to VNCtalk and starts to share your screen with a contact.
Email Redirects to VNCmail and opens a form to compose an email.
Event Redirects to VNCcalendar and opens a calendar.
Task Redirects to VNCtask and opens a form to create a task for a contact.
Ticket Redirects to VNCproject and opens a form to create a ticket.

If you initiate an audio call/video call/screenshare session/chat with a contact who does not have the subscription for VNCtalk, he/she will receive the invitation notification to his/her email address, registered in VNCcontacts+. The invitation notification contains the URL for the call. If a contact is registered without an email address in VNCcontacts+, you will not be able to use the actions panel - you should see the following warning:

Selected contact does not have an email address

If you compose an email for a contact who does not have the subscription for VNCmail, your email will be sent to the contact's email address, registered in VNCcontacts+. You can create an event only for a contact of your organization. And you can create a task and ticket for a contact only if he/she has the subscription for VNCtask and VNCproject. If the contact does not have the subscription for these VNC products, Task and Ticket buttons will not be visible in the contact's actions panel.

3 - tabs with a contact's information. The data accessible via these tabs depends on your role within your organization:

Tab Information
Contact Info Displays basic information with address, email, website, phone, time zone, language, skills and interests.
HR Data Displays different HR data, such as weekly working hours, private contact and address data, date of birth, payment mode and hourly rate. The data displayed under HR Data is imported from VNCdirectory.
Account details Displays identity management and access / permission management data, such as the role of a team member, account settings, assigned projects and further information. The information is managed in VNCdirectory.

All contacts are stored in Contacts section:

The contacts, which are used more often than others, are located at the top of the contacts list and stored in Frequently Contacted section. The numbers, which you can see next to Contacts, display the number of contacts in the section.

Create a contact

  1. Tap the hamburger menu:

  2. Navigate to Contacts -> Contacts and tap the plus icon at the bottom.

  3. Fill in the fields. When you fill in Phone field, you can select a corresponding flag from the drop-down menu:

  4. Tap the checkmark at the top.

Edit a contact

  1. Tap the hamburger menu:

  2. Navigate to Contacts -> Contacts and tap required contact.

  3. Tap the pencil icon:

  4. Edit the fields and tap the checkmark at the top.

Share a contact

  1. Tap the hamburger menu:

  2. Navigate to Contacts -> Contacts and tap required contact.

  3. Tap the kebab menu and tap Share:

  2. Navigate to Contacts -> Contacts and tap required contact.

  3. Tap the kebab menu and tap Print:

Export a contact

  1. Tap the hamburger menu:

  2. Navigate to Contacts -> Contacts and tap required contact.

  3. Tap the kebab menu and tap Export:

Search for a contact

There are 2 ways to search for a contact:

  • using the magnifier icon;
  • using an alphabet letter.

Way 1 - using the magnifier icon:

  1. Tap the magnifier icon:

  2. Enter a contact name to the field. You should see the search result under the field, for example:

Way 2 - using an alphabet letter:

Just tap required letter on the right side:

You should see the list of contacts whose names begin with the letter you tapped. Light gray letters mean that there are no contacts whose names begin with these letters.

Import contacts

You can import contacts in 2 formats: CSV and vCard (also known as VCF).

  1. Tap the hamburger menu:

  2. Navigate to Actions -> Import.

  3. Tap IMPORT CONTACT.

Delete a contact

After you delete a contact, it is moved to Trash. You can delete a contact permanently or recover it from Trash.

  1. Tap the hamburger menu:

  2. Navigate to Contacts -> Contacts and tap required contact.

  3. Tap the kebab menu and tap Delete:

  4. Confirm that you want to delete the contact - click Delete in the modal window.

  5. If you want to delete the contact permanently - tap the hamburger menu again and navigate to Contacts -> Trash.
  6. Tap the contact and tap the trash icon:

  7. Confirm that you want to delete the contact permanently - tap Delete in the modal window.

Recover a deleted contact

You can recover a deleted contact from Trash.

  1. Tap the hamburger menu:

  2. Navigate to Contacts -> Trash.

  3. Tap the contact that you want to recover.
  4. Tap the following arrow icon:

Make a video or an audio call to a contact

  1. Tap the hamburger menu:

  2. Navigate to Contacts -> Contacts.

  3. Tap required contact and tap Audio call or Video call:

    You should be redirected to VNCtalk.

Chat with a contact

  1. Tap the hamburger menu:

  2. Navigate to Contacts -> Contacts.

  3. Tap required contact and tap Chat:

    You should be redirected to VNCtalk.

Create a task for a contact

You can create a task for a user only if this user has the subscription for VNCtask.

  1. Tap the hamburger menu:

  2. Navigate to Contacts -> Contacts.

  3. Tap required contact and swipe left the actions panel.
  4. Tap Task:

    You should be redirected to VNCtask.

Create an event for a contact

  1. Tap the hamburger menu:

  2. Navigate to Contacts -> Contacts.

  3. Tap required contact and swipe left the actions panel.
  4. Tap Event:

    You should be redirected to VNCcalendar.

Create a ticket for a contact

You can create a ticket for a user only if this user has the subscription for VNCproject.

  1. Tap the hamburger menu:

  2. Navigate to Contacts -> Contacts.

  3. Tap required contact and swipe left the actions panel.
  4. Tap Ticket:

    You should be redirected to VNCproject.

Share a screen with a contact

  1. Tap the hamburger menu:

  2. Navigate to Contacts -> Contacts.

  3. Tap required contact and tap Share screen:

    You should be redirected to VNCtalk.

Compose an email for a contact

  1. Tap the hamburger menu:

  2. Navigate to Contacts -> Contacts.

  3. Tap required contact and swipe left the actions panel.
  4. Tap Email:

    You should be redirected to VNCmail.

Change contacts list state

You can change the contacts list back to any state in the past 30 days.

  1. Tap the hamburger menu:

  2. Navigate to Actions -> Undo changes.

  3. Tap required option. If you select Custom, you should enter a specific time period to which you want roll back the contacts list (Days, Hours, Minutes fields).
  4. Tap the checkmark at the bottom.

Star/unstar a contact

  1. Tap the hamburger menu:

  2. Navigate to Contacts -> Contacts.

  3. Tap required contact and tap the star icon:

    You can check the contact in "Starred contacts":

    Also you can access "Starred contacts" if you tap the star icon:

Merge the contacts

If you have several contacts with the same email address, you can merge them into 1 contact to avoid double entries. You can see the contacts that can be merged in Contacts -> Duplicates:

  1. Tap the hamburger menu:

  2. Navigate to Contacts -> Duplicates.

  3. Tap:

    • Merge under a contact - if you want to merge a particular contact;
    • Merge all at the bottom - if you want to merge all the contacts.

Synchronize contacts with VNCmail contacts

You can import all current contacts from VNCmail to VNCcontacts+.

  1. Tap the hamburger menu:

  2. Tap Actions and tap Sync VNCmail Contacts:

  3. Confirm that you want to synchronize the contacts, click Import in the modal window.

Contact Groups

All contact groups are stored in Contact Group section:

The numbers, which you can see next to Contact Group, display the number of contacts in the section.

Create a contact group

  1. Tap the hamburger menu:

  2. Tap Contact Group and tap the plus icon at the bottom.

  3. Enter the contact group name to Contacts group name field.
  4. To add a contact to the contact group, just tap the contact.
  5. Tap the checkmark at the bottom. You can check the created contact group in Contact Group section:

Edit a contact group

  1. Tap the hamburger menu:

  2. Tap Contact Group and tap required contact group.

  3. Tap the pencil icon at the bottom.
  4. If you need to remove a contact from the contact group, tap the cross icon:

    If you need to add a contact to the contact group, just tap the contact.

  5. Tap the checkmark at the bottom.

Upload a contact group photo

  1. Tap the hamburger menu:

  2. Tap Contact Group and tap required contact group.

  3. Tap the pencil icon at the bottom.
  4. Tap the photo icon:

  5. Tap Upload and select required photo/picture.

  6. Tap Done and tap the checkmark at the bottom.

Delete a contact group

After you delete a contact group, you will not be able to restore it.

  1. Tap the hamburger menu:

  2. Tap Contact Group, then tap and hold on required contact group.

  3. Tap the trash icon:

  4. Confirm that you want to delete the contact group, click Delete in the modal window.

Make a video or an audio call to a contact group users

  1. Tap the hamburger menu:

  2. Tap Contact Group and tap required contact group.

  3. Tap the kebab menu and tap Voice call or Video call:

    You will be suggested to create a group - enter the group name to the field and tap CREATE:

    You should be redirected to VNCtalk.

Compose an email for a contact group users

  1. Tap the hamburger menu:

  2. Tap Contact Group and tap required contact group.

  3. Tap the kebab menu and tap Email:

    You should be redirected to VNCmail.

Create an event for a contact group users

  1. Tap the hamburger menu:

  2. Tap Contact Group and tap required contact group.

  3. Tap the kebab menu and tap Event:

    You should be redirected to VNCcalendar.

Send a message to a contact group users

  1. Tap the hamburger menu:

  2. Tap Contact Group and tap required contact group.

  3. Tap the kebab menu and tap Send a message:

    You will be suggested to create a group - enter the group name to the field and tap CREATE:

    You should be redirected to VNCtalk.

Create a broadcast message for a contact group users

  1. Tap the hamburger menu:

  2. Tap Contact Group and tap required contact group.

  3. Tap the kebab menu and tap Broadcast:

    You will be suggested to create a group - enter the group name to the field and tap CREATE:

    You should be redirected to VNCtalk.

Share a screen with a contact group users

  1. Tap the hamburger menu:

  2. Tap Contact Group and tap required contact group.

  3. Tap the kebab menu and tap Share screen:

    You will be suggested to create a group - enter the group name to the field and tap CREATE:

    You should be redirected to VNCtalk.

Contact Lists

All contact lists are stored in Lists block:

The numbers, which you can see next to a contact list, display the number of contacts in the contact list.

Create a contact list

  1. Tap the hamburger menu:

  2. Tap Lists and tap the plus icon at the bottom.

  3. Enter a list name to the field. If you want, you can select a color for a list. Tap CREATE:

    You can check the created list in Lists block:

Add a contact to a contact list

  1. Tap the hamburger menu:

  2. Tap Lists and tap required list. 3.

Delete a contact from a contact list

After you delete a contact, it is moved to Trash. You can delete a contact permanently or recover it from Trash.

  1. Tap the hamburger menu:

  2. Tap Lists and tap required list.

  3. Tap and hold on the contact that you want to delete.
  4. Tap the trash icon:

  5. Confirm that you want to delete the contact from the contact list, tap Delete in the modal window.

  6. If you want to delete the contact permanently - tap the hamburger menu and navigate to Contacts -> Trash.
  7. Tap and hold on required contact, then tap the trash icon:

  8. Confirm that you want to delete the contact from the contact list, tap Delete in the modal window.

Rename a contact list

  1. Tap the hamburger menu:

  2. Tap Lists and tap required list.

  3. Tap the kebab menu and tap Edit List:

  4. Rename the contact list and tap UPDATE.

Export a contact list

You can export a contact list in 3 formats: CSV, XLS, and vCard (also known as VCF).

  1. Tap the hamburger menu:

  2. Navigate to Actions -> Export.

  3. Select required contact list from the drop-down menu and select file format. Then tap the checkmark at the bottom.

Delete a contact list

After you delete a contact list, you will not be able to restore it.

  1. Tap the hamburger menu:

  2. Tap Lists and tap required list.

  3. Tap and hold on required contact list. Then tap Delete list:

    Or you can tap the contact list, then tap the kebab menu and tap Delete List:

  4. Confirm that you want to delete the contact, tap Delete in the modal window.

"Advanced Search" is a powerful search service inside VNCcontacts+ App that allows to apply many different filters. "Advanced Search" suggests the following filters:

  1. First name - is the search for contacts by the first name.
  2. Last name - is the search for contacts by the last name.
  3. Middle name - is the search for contacts by the middle name.
  4. Updated - is the search for contacts that were updated in a certain period of time.
  5. Deleted - is the search for contacts
  6. Deleted on -
  7. All -
  8. In my department -
  9. Contact list - is the search for contacts in existing contact lists;
  10. Contact group - is the search for contacts in existing contact groups;
  11. Tags - is the search for contacts by tags;
  12. Contact ID -
  13. JID -
  14. Related user's City - is the search for contacts by cities;
  15. Country - is the search for contacts by countries;
  16. Related user's Gender - is the search for contacts by genders.

To use "Advanced Search":

  1. Tap the magnifier icon:

  2. Tap the filter icon:

  3. Tap Add filter at the bottom and select required filter. You can add several filters, just tap Add filter again and select required filter(s). If you need to remove the filters, tap Reset fields:

  4. Tap Search at the bottom. If you want to save the search result, tap the kebab menu and tap Save search:
