VNCcontacts+ Web Client and Desktop Client User Manual

Getting started

Edit the profile information

  1. Click the profile photo icon and click Profile:

  2. Click the kebab menu:

  3. Click Edit.

  4. Edit the fields and click Update at the bottom of the modal window.

Upload the profile photo

  1. Click the profile photo icon and click Profile:

  2. Click the kebab menu:

  3. Click Edit and click the profile photo icon:

  4. Click Upload, select required photo/picture, and crop it.

  5. If you have selected the photo/picture - click Done. If you want to select another photo/picture - click Re-upload.
  6. Click Update at the bottom of the modal window.

Remove the profile photo

  1. Click the profile photo icon and click Profile:

  2. Click the kebab menu:

  3. Click Edit and click the profile photo icon:

  4. Click Remove and click Update at the bottom of the modal window.

Set the language

You can set English or German for VNCcontacts+.

  1. Click the cogwheel icon and click Settings:

  2. Select the language from Language drop-down menu.

  3. Click Save.

Enable 2 Factor Authentication

  1. Install "Google Authenticator" application in your smartphone.
  2. Click the cogwheel icon and click Settings:

  3. Tick Enable 2 Factor Authentication.

  4. Click Start Authenticator app.
  5. Tap Scan a QR code in "Google Authenticator" application and scan the QR code:

  6. Tap ADD ACCOUNT in "Google Authenticator" application.

  7. Enter the OTP code from "Google Authenticator" application to OTP field and click Save in VNCcontacts+. Every time when you login to VNCcontacts+, you should enter the OTP code from "Google Authenticator" application after entering the login credentials.

Disable 2 Factor Authentication

  1. Click the cogwheel icon and click Settings:

  2. Uncheck Enable 2 Factor Authentication.

  3. Click Save.

Check VNCcontacts+ version

To check VNCcontacts+ version, click the cogwheel icon and navigate to Help -> App Info:

Create an incident in VNC Service Desk

  1. Click the cogwheel icon and navigate to Help -> VNC Help Desk:

  2. Click Visit VNC service desk:

    You should be redirected to VNCproject. Fill in the fields. The fields with the asterisk are required. If you need to attach something - click Browse at the bottom.

  3. Click Create at the bottom.

Access "Terms of use"

To access "Terms of use", click the cogwheel icon and navigate to Legal Notice -> Terms of use:

Access "Data Privacy"

To access "VNC Data Privacy Policy", click the cogwheel icon and navigate to Legal Notice -> Data Privacy:

Access "User Manual"

If you need more information about VNCcontacts+ or need some instructions, you can access "VNCcontacts+ Web Client User Manual". For this, click the cogwheel icon and navigate to Help -> User Manual:

Log out

To log out, click the profile photo icon and click Logout:

Contacts

If you click a contact in VNCcontacts+ you should see the following, for example:

  • 1 - actions panel. The panel consists of buttons that launch some actions in a corresponding VNC product:
Button Action
Audio call Redirects to VNCtalk and starts an audio call with a contact.
Video call Redirects to VNCtalk and starts a video call with a contact.
Chat Redirects to VNCtalk and starts a chat with a contact.
Share screen Redirects to VNCtalk and starts to share your screen with a contact.
Email Redirects to VNCmail and opens a form to compose an email.
Event Redirects to VNCcalendar and opens a calendar.
Task Redirects to VNCtask and opens a form to create a task for a contact.
Ticket Redirects to VNCproject and opens a form to create a ticket.

If you initiate an audio call/video call/screenshare session/chat with a contact who does not have the subscription for VNCtalk, he/she will receive the invitation notification to his/her email address, registered in VNCcontacts+. The invitation notification contains the URL for the call. If a contact is registered without an email address in VNCcontacts+, you will not be able to use the actions panel - you should see the following warning:

Selected contact does not have an email address

If you compose an email for a contact who does not have the subscription for VNCmail, your email will be sent to the contact's email address, registered in VNCcontacts+. You can create an event only for a contact of your organization. And you can create a task and ticket for a contact only if he/she has the subscription for VNCtask and VNCproject. If the contact does not have the subscription for these VNC products, Task and Ticket buttons will not be visible in the contact's actions panel.

  • 2 - tabs with a contact's information. The data accessible via these tabs depends on your role within your organization:
Tab Information
Contact Info Displays basic information with address, email, website, phone, time zone, language, skills and interests. All information in "Contact Info" tab is clickable. It means that you can compose an email if you click a user's email address and so on.
HR Data Displays different HR data, such as weekly working hours, private contact and address data, date of birth, payment mode and hourly rate. The data displayed under HR Data is imported from VNCdirectory.
Account details Displays identity management and access / permission management data, such as the role of a team member, account settings, assigned projects and further information. The information is managed in VNCdirectory.
Recent activity Displays your recent communication with a contact. This gives a great overview about your relationship with the contact, form of contact, sent messages, frequency.
  • 3 - tabs that contain the information about your recent activities in other VNC products:
Tab Description
All Contains your recent activities in VNCtalk, VNCmail, VNCtask, VNCproject.
Chats Contains your recent activities in VNCtalk.
Calls Contains your recent activities in VNCtalk.
Emails Contains your recent activities in VNCmail.
Tasks Contains your recent activities in VNCtask.
Tickets Contains your recent activities in VNCproject.
Incidents Contains your recent incidents in VNC Service Desk.

If you click any message in Chats tab, you will be redirected to this chat in VNCtalk.

All contacts are stored in Contacts section:

The contacts, which are used more often than others, are located at the top of the contacts list and stored in Frequently Contacted section. The numbers, which you can see next to Contacts, display the number of contacts in the section.

Create a contact

  1. Click New contact and click Create contact:

  2. Fill in the fields. First name is required. If you want to add several phone numbers or email addresses - click the plus icon:

  3. Click Create. You can check the created contact in Contacts section:

Edit a contact

  1. Click Contacts in Contacts block:

  2. Search for required user. You can use the search field at the top for it. Then click the user.

  3. Hold the pointer over the contact or click the contact, and click the pencil icon on the right:

  4. Edit the information and click Update.

Share a contact

  1. Click Contacts in Contacts block:

  2. Search for required user. You can use the search field at the top for it. Then click the user.

  3. Click the kebab menu on the right and click Share:

  3. Click the kebab menu on the right and click Print:

Export a contact

  1. Click Contacts in Contacts block:

  2. Search for required user. You can use the search field at the top for it. Then click the user.

  3. Click the kebab menu on the right and click Export:

Import contacts

You can import contacts in 2 formats: CSV and vCard (also known as VCF).

  1. Click Import in Actions block:

  2. Click Select file:

  3. Select required file and

Delete a contact

After you delete a contact, it is moved to Trash. You can delete a contact permanently or recover it from Trash.

  1. Click Contacts in Contacts block:

  2. Search for required user. You can use the search field at the top for it. Then click the user.

  3. Hold the pointer over the contact or click the contact, then click the kebab menu on the right and click Delete:

  4. Confirm that you want to delete the contact - click Delete in the modal window.

  5. If you want to delete the contact permanently - click Trash in Contacts block:

  6. Use the Search field to find required contact.

  7. Click the contact and click Remove permanently:

Recover a deleted contact

You can recover a deleted contact from Trash.

  1. Click Trash in Contacts block:

  2. Use the Search field to find required contact.

  3. Click the contact or hold the pointer over the contact, and click Recover:

Make a video or an audio call to a contact

With VNCcontacts+, you can initiate a video or an audio call to any contact via VNCtalk.

  1. Click Contacts in Contacts block:

  2. Search for required user. You can use the search field at the top for it. Then click the user.

  3. Click the contact and click Audio call or Video call:

    You should be redirected to VNCtalk. Also you can make an audio call with a user using your smartphone, for this just click the user's smartphone number:

Chat with a contact

With VNCcontacts+, you can send a chat message to any contact via VNCtalk.

  1. Click Contacts in Contacts block:

  2. Search for required user. You can use the search field at the top for it. Then click the user.

  3. Click the contact and click Chat:

    You should be redirected to VNCtalk.

Create a task for a contact

With VNCcontacts+, you can create tasks for any contact via VNCtask.

You can create a task for a contact only if this contact has the subscription for VNCtask.

  1. Click Contacts in Contacts block:

  2. Search for required user. You can use the search field at the top for it. Then click the user.

  3. Click the contact and click Task:

    You should be redirected to VNCtask.

Create an event for a contact

  1. Click Contacts in Contacts block:

  2. Search for required user. You can use the search field at the top for it. Then click the user.

  3. Click the contact and click Event:

    You should be redirected to VNCcalendar.

Create a ticket for a contact

With VNCcontacts+, you can create tickets for any contact via VNCproject.

You can create a ticket for a contact only if this contact has the subscription for VNCproject.

  1. Click Contacts in Contacts block:

  2. Search for required user. You can use the search field at the top for it. Then click the user.

  3. Click the contact and click Ticket:

    You should be redirected to VNCproject.

Share a screen with a contact

  1. Click Contacts in Contacts block:

  2. Search for required user. You can use the search field at the top for it. Then click the user.

  3. Click Share screen:

    You should be redirected to VNCtalk.

Compose an email for a contact

With VNCcontacts+, you can compose an email and send it to any contact via VNCmail.

  1. Click Contacts in Contacts block:

  2. Search for required user. You can use the search field at the top for it. Then click the user.

  3. Click the contact and click Email:

    You should be redirected to VNCmail. Or you can click the user's email address:

Change contacts list state

You can change the contacts list back to any state in the past 30 days.

  1. Click Undo changes in Actions block:

  2. Select required option. If you select Custom, you should enter a specific time period to which you want roll back the contacts list (Days, Hours, Minutes fields).

  3. Click Confirm:

Star/unstar a contact

  1. Click Contacts in Contacts block:

  2. Search for required user. You can use the search field at the top for it. Then click the user.

  3. Click the contact and click the star icon:

    Or you can hold the pointer over the contact and click the star icon on the right.

Merge the contacts

If you have several contacts with the same email address, you can merge them into 1 contact to avoid double entries. You can see the contacts that can be merged in Duplicates in Contacts block:

To merge the contacts, click Duplicates and click:

  • Merge next to a contact - if you want to merge a particular contact;
  • Merge All at the top - if you want to merge all the contacts.

Synchronize contacts with VNCmail contacts

You can import all current contacts from VNCmail to VNCcontacts+.

  1. Click Sync VNCmail Contacts in Actions block:

  2. Confirm that you want to synchronize the contacts, click Import in the modal window.

Contact Groups

"Contact Group" is an option to collect contacts in a group to perform bulk options, such as:

  • start group calls;
  • send bulk emails;
  • start video/audio calls;
  • start chats;
  • start screen share sessions;
  • add events to VNCcalendar.

All contact groups are stored in Contact Group section:

The numbers, which you can see next to Contact Group, display the number of contacts in the section.

Create a contact group

  1. Click New contact and click Create Contact Group:

  2. Enter the contact group name to Contacts group name field.

  3. Use the search field to find required contacts. To add a contact to the contact group, just click the contact.
  4. Click Save. You can check the created contact group in Contact Group section in Contacts block:

Edit a contact group

  1. Click Contact Group section in Contacts block:

  2. Search for required contact group. You can use the search field at the top for it. Then click the contact group.

  3. Click the contact group and click the pencil icon on the right:

  4. If you need to remove a contact from the contact group, click the cross icon:

    If you need to add a contact to the contact group, just click the contact.

  5. Click Save.

Upload a contact group photo

  1. Click Contact Group section in Contacts block:

  2. Search for required contact group. You can use the search field at the top for it. Then click the contact group.

  3. Click the contact group, and click the pencil icon on the right:

  4. Click the photo icon:

  5. Click Upload and select required photo/picture.

  6. If you have selected the photo/picture - click Done. If you want to select another photo/picture - click Re-upload.
  7. Click Save.

Delete a contact group

After you delete a contact group, you will not be able to restore it.

  1. Click Contact Group section in Contacts block:

  2. Search for required contact group. You can use the search field at the top for it. Then click the contact group.

  3. Click the contact group, and click the kebab menu on the right and click Delete:

  4. Confirm that you want to delete the contact group, click Delete in the modal window.

Make a video or an audio call to a contact group users

With VNCcontacts+, you can initiate a video or an audio call to a contact group users via VNCtalk.

  1. Click Contact Group section in Contacts block:

  2. Search for required contact group. You can use the search field at the top for it. Then click the contact group.

  3. Click the contact and click Audio call or Video call:

    You should be redirected to VNCtalk.

Chat with a contact group users

With VNCcontacts+, you can send a chat message to a contact group users via VNCtalk.

  1. Click Contact Group section in Contacts block:

  2. Search for required contact group. You can use the search field at the top for it. Then click the contact group.

  3. Click the contact group and click Chat:

    You should be redirected to VNCtalk.

Compose an email for a contact group users

With VNCcontacts+, you can compose an email and send it to a contact group users via VNCmail.

  1. Click Contact Group section in Contacts block:

  2. Search for required contact group. You can use the search field at the top for it. Then click the contact group.

  3. Click the contact group and click Email:

    You should be redirected to VNCmail.

Share a screen with a contact group users

  1. Click Contact Group section in Contacts block:

  2. Search for required contact group. You can use the search field at the top for it. Then click the contact group.

  3. Click Share screen:

    You should be redirected to VNCtalk.

Create an event for a contact group users

  1. Click Contact Group section in Contacts block:

  2. Search for required contact group. You can use the search field at the top for it. Then click the contact group.

  3. Click Event:

    You should be redirected to VNCcalendar.

Contact Lists

"Contact List" is an option for each user to create lists according to individual requirements, for example for marketing purposes.

All contact lists are stored in Lists block:

The numbers, which you can see next to a contact list, display the number of contacts in the contact list.

Create a contact list

  1. Click the plus icon next to Lists:

  2. Enter a list name to the field. If you want, you can select a color for a list:

  3. Click CREATE. You can check the created list in Lists block:

Add a contact to a contact list

  1. Click the created list in Lists block and click Add a contact:

  2. Fill in the fields. First name is required. If you want to add several phone numbers or email addresses - click the plus icon:

  3. Click Create.

Delete a contact from a contact list

After you delete a contact, it is moved to Trash. You can delete a contact permanently or recover it from Trash.

  1. Click required list in Lists block and click a contact.
  2. Click the kebab menu and click Delete:

  3. Confirm that you want to delete the contact - click Delete in the modal window.

  4. If you want to delete the contact permanently - click Trash:

  5. Use the search field to find required contact.

  6. Click the contact and click Remove permanently:

Rename a contact list

  1. Hold the pointer over a list and click the kebab menu next to the list.
  2. Click Rename:

  3. Edit the list name and color.

  4. Click UPDATE.

Export a contact list

You can export a contact list in 3 formats: CSV, XLS, and vCard (also known as VCF).

  1. Click Export in Actions block:

  2. Select required contact list from the drop-down menu and select required file format. Then click Export:

Delete a contact list

After you delete a contact list, you will not be able to restore it.

  1. Hold the pointer over a list in Lists block and click the kebab menu next to the list.
  2. Click Delete:

  3. Confirm that you want to delete the list - click Delete in the modal window.

Advanced Search is a powerful search service inside VNCcontacts+ App that allows to apply many different filters. Advanced Search suggests the following filters:

  1. First name - is the search for contacts by the first name.
  2. Last name - is the search for contacts by the last name.
  3. Middle name - is the search for contacts by the middle name.
  4. Updated - is the search for contacts that were updated in a certain period of time.
  5. Deleted - is the search for contacts
  6. Deleted on -
  7. All -
  8. In my department -
  9. Contact list - is the search for contacts in existing contact lists;
  10. Contact group - is the search for contacts in existing contact groups;
  11. Tags - is the search for contacts by tags;
  12. Contact ID -
  13. JID -
  14. Related user's City - is the search for contacts by cities;
  15. Country - is the search for contacts by countries;
  16. Related user's Gender - is the search for contacts by genders.

To use "Advanced Search":

  1. Click the filter icon:

  2. Click Add filter at the bottom and select required filter. You can add several filters, just click Add filter again and select required filter(s). If you need to remove the filters, click Reset fields.

  3. Click Search at the bottom. If you want to save the search result, click Save search:
