VNCtalk SaaS Service

Introduction

The VNCtalk SaaS Service is a hosted version of VNCtalk. It is available for Web Client.

For the general functionalities refer to the documentation here:

Individual Users

"Individual User" account provides the following features:

  • 1:1 and group chats;

  • 1:1 audio/video calls;

  • screensharing;

  • VNCpad (document collaboration);

  • RFC (request for conect);

  • 2 Factor Authentication;

  • upgrade account to organization.

Registration

If you want to register as an individual user, please:

  1. Click INDIVIDUAL:

  2. Fill in the fields. The fields with an asterisk are required. The username is generated automatically. Then click REGISTER. You should see:

    Account was successfully created. An email containing the instructions to activate your account was sent to <your_email>. In case you did not receive an email, please check your spamfolder, if the email has not been accidently recognized as SPAM.

  3. Check your email and click the activation URL. You should be redirected to the login page.

  4. Login. You should see "Terms of Use" page:

  5. Read "Terms of Use" and click Accept. You should see "VNClagoon" page.

  6. Select VNCtalk to start VNCtalk.

Edit the account information

To edit your account data, follow the steps below:

  1. Click SETTINGS:

  2. Click My account:

  3. Edit your account data, then click Save.

Change the password

To change your password, follow the steps below:

  1. Click SETTINGS:

  2. Click My account:

  3. Click Change password:

  4. Fill in the fields and click Apply.

Change the avatar

To change the avatar, follow the steps below:

  1. Click SETTINGS:

  2. Click My account:

  3. Click Change avatar:

  4. Click Choose File to upload the avatar.

  5. Click Save.

Delete the avatar

To delete the avatar, follow the steps below:

  1. Click SETTINGS:

  2. Click My account:

  3. Click Change avatar:

  4. Click Delete and confirm the operation in the popup window.

Create "Request for connect" (RFC)

Request for Connect (RFC) is an option for users of the VNCtalk LIVE service to invite other persons to communicate in VNCtalk. Therefore, any user of the VNCtalk LIVE service can invite another person by email. When this person accepts the invitation and joins as a VNCtalk user, they see each other as VNCtalk contacts and can communicate, e.g. via chat or 1:1 audio / video call.

To create "Request for connect" (RFC), follow the steps below:

  1. Click SETTINGS:

  2. Click in RFC:

  3. Click New RFC:

  4. Fill in the fields, but ensure that you have entered an email address without blanks, and click Send RFC.

    The corresponding email is sent to the specified email address.

Accept "Request for connect" (RFC)

Check your email address to which the invitation has been sent. The email is sent from signup@vncmeet.com and looks as follows:

If you want to accept the invitation - just click Accept, but if you do not want - click Decline.

Once you click Accept, you are redirected to VNClagoon sign up page. If you have already had the account, just login to it and you should see the following:

Also you should see that the user, who has sent you the invitation, in your list of contacts:

If you have not had the account yet - register the account with the same email address to which the invitation has been sent, login and you should see that the user, who has sent you the invitation, in your list of contacts and you can start communicating with him/her.

Check the list of "Requests for connect" (RFC)

To check the list of "Requests for connect" (RFC), follow the steps below:

  1. Click SETTINGS:

  2. Click in RFC:

    Here you should see 3 tabs: Connected, Received, and Sent.

Upgrade to Organization account

This option allows to upgrade your individual user to an organization user.

  1. Click Upgrade to organization account:

  2. Fill in the following fields:

    • Organization name - the field is required; enter your organization name;

    • Website - the field is not required; enter your website name;

    • VAT - the field is not required; enter Value Added Tax Number (VAT No) of your organization.

  3. Click Create.

    Now your account has all features, which are available for Organization account.

Log out

After you log out of VNCtalk account, you are logged out of VNClagoon page automatically.

To log out of VNCtalk page - see "Logout" section.

To log out of VNClagoon page, just click SIGN OUT:

Organizations

Organizations can be created by subscribers to the VNCtalk LIVE service in order to communicate professionally in teams, organizational units and companies. An Organization can be managed by a VNCtalk subscriber, who then invites other users to join the Organization.

"Organization" account provides the following features:

  • 1:1 and group chats;

  • 1:1 audio/video calls;

  • video/audio group conferences;

  • screensharing;

  • VNCpad (document collaboration);

  • RFC (request for conect);

  • 2 Factor Authentication;

  • invite external users;

  • invite users to join an organization.

Registration

If you want to register an Organization, please:

  1. Click ORGANIZATION:

  2. Fill in the fields. The fields with an asterisk are required. The username is generated automatically. Then click REGISTER. You should see:

  3. Check your email and click the activation URL. You should be redirected to the login page.

  4. Login. You should see "Terms of Use" page:

  6. Select VNCtalk. You should be redirected to VNCtalk page.

Edit the account information

To edit your account data, follow the steps below:

  1. Click SETTINGS:

  2. Click My account:

  3. Edit your account data, then click Save.

Edit Organization information

To change Organization information, follow the steps below:

  1. Click SETTINGS:

  2. Click Organizations:

  3. Click Edit:

  4. Edit the organization data, then click Save.

Change the password

To change your password, follow the steps below:

  1. Click SETTINGS:

  2. Click My account:

  3. Click Change password:

  4. Fill in the fields and click Apply.

Change the avatar

To change the avatar, follow the steps below:

  1. Click SETTINGS:

  2. Click My account:

  3. Click Change avatar:

  4. Click Choose File to upload the avatar.

  5. Click Save.

Delete the avatar

To delete the avatar, follow the steps below:

  1. Click SETTINGS:

  2. Click My account:

  3. Click Change avatar:

  4. Click Delete and confirm the operation in the popup window.

Check the list of users

To check the list of users, follow the steps below:

  1. Click SETTINGS:

  2. Click Organizations:

  3. Click the organization:

  4. Click Users:

Add a new department

To add a new department, follow the steps below:

  1. Click SETTINGS:

  2. Click Organizations:

  3. Click the organization:

  4. Click Departments:

  5. Click New department:

  6. Fill in the fields and click Create.

Edit a department information

To edit a department data, follow the steps below:

  1. Click SETTINGS:

  2. Click Organizations:

  3. Click the organization:

  4. Click Departments:

  5. Click Edit:

  6. Fill in the fields and click Save.

Delete a department

To delete a department, follow the steps below:

  1. Click SETTINGS:

  2. Click Organizations:

  3. Click the organization:

  4. Click Departments:

  5. Click Delete next to a required depertment:

  6. Confirm that you want to delete a department in the popup window.

Check the list of departments

To check the list of departments, follow the steps below:

  1. Click SETTINGS:

  2. Click Organizations:

  3. Click the organization:

  4. Click Departments:

Check the list of invitations

To check the list of invitations, follow the steps below:

  1. Click SETTINGS:

  2. Click Organizations:

  3. Click the organization:

  4. Click Invitations:

Invite a user

This feature is available for organization users only, the organization admin user can send the invitation to users who are not members of any other organization.

There are 2 ways to invite a user:

  • using Users tab;
  • using Invitations tab.

Way 1 - using Users tab:

  1. Click SETTINGS:

  2. Click Organizations:

  3. Click the organization:

  4. Click Users:

  5. Click Invite user:

  6. Fill in the fields and click Send.

    The corresponding email is sent to the specified email address. Once a user accepts the invitation - he/she is redirected to VNClagoon page.

Way 2 - using Invitations tab:

  1. Click SETTINGS:

  2. Click Organizations:

  3. Click the organization:

  4. Click Invitations:

  5. Click Invite user:

  6. Fill in the fields and click Send.

Accept the invitation

Check your email address to which the invitation has been sent. The email is sent from signup@vncmeet.com and looks as follows:

Once you click Accept, you are redirected to VNClagoon sign up page. If you have already had the account, just login to it and you should see the following:

If you have not had the account yet - register, login and you should see that you are connected with the user, who has sent you the invitation.

Add a new user

To add a new user, follow the steps below:

  1. Click SETTINGS:

  2. Click Organizations:

  3. Click the organization:

  4. Click Users:

  5. Click New user:

  6. Fill in the fields. The fields with an asterisk are required. Then click Create.

Delete a user

To delete a user, follow the steps below:

  1. Click SETTINGS:

  2. Click Organizations:

  3. Click the organization:

  4. Click Users:

  5. Click Remove next to required user:

  6. Confirm that you want to delete a user in the popup window.

Resend the invitation

To resend the invitations, follow the steps below:

  1. Click SETTINGS:

  2. Click Organizations:

  3. Click the organization:

  4. Click Invitations:

  5. Click Resend next to a required user:

Delete a user from "Invitations" list

  1. Click SETTINGS:

  2. Click Organizations:

  3. Click the organization:

  4. Click Invitations:

  5. Click Delete next to a required user:

Log out

After you log out of VNCtalk account, you are logged out of VNClagoon page automatically.
