Account Management

Install VNCtalk App

Search for VNCtalk: secure real-time communication in the Play Market or App Store and install the application.

After you have installed VNCtalk, you can:

  • Select your communication partner and start a text chat.
  • Invite several people to a group chat.
  • Invite your team to a video conference.
  • Transfer a file and share it with your chat partner.

Log in to VNCtalk App

Before logging in to VNCtalk App, ensure that you use the proper URL. For this, tap "Change server URL" on the login page, enter the appropriate URL, and tap "Change".

  1. On your phone, open the VNCtalk app.
  2. Enter your credentials in the respective fields.
  3. Tap LOGIN.

After you log in, you should see your VNCtalk chats. Your chats are automatically synced so you can access your chats from any mobile device or computer.

Change a profile image

You can add a VNCtalk profile image or change your current profile image. By default, your avatar is a circle with your username's initials.

  1. In the top right corner, tap the profile icon.

    • You can also tap the hamburger menu icon in the upper left corner and then the profile image.
  2. Tap the pencil icon .

  3. Tap Upload. You can choose a photo from your library or take a new photo with your camera.
  4. Customize your image if needed.
  5. Tap the checkmark icon at the bottom.

Switch among VNClagoon apps

You can go to another VNClaggon product from VNCtalk if you have a subscription to the product. It means that you do not need to open the product URL in a browser and enter your credentials to log in.

  1. In the upper left corner, tap the hamburger menu icon .
  2. Tap Talk. You should see only the products you are subscribed to.
  3. Select a required product and you should be redirected to this product.

Access Help Center

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Help.
  3. Select one of the following options:

    • App info. The version number of VNCtalk you are using.
    • User Manual. A comprehensive user guide providing step-by-step instructions on how to use VNCtalk.
    • VNC Service Desk. Adding a support request.

Enable the "Check for updates" option

The "Check for updates" option is currently an open beta. Anyone with a VNCtalk app for Android can enable a "Check for updates" option right now.

You can easily update VNCtalk. We encourage you to always use the latest version of VNCtalk. The latest versions contain the newest features and bug fixes.

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Help > App Info.
  3. Switch on the Check for updates toggle. If updates are available, download them.

If the item "Check for updates" is active (the slider is moved to the right), then VNCtalk will notify the user about the availability of a new version — the "Check for updates" notification will appear when the user opens the app.

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Help.
  3. Click Legal Notice and then select one of the following options:

    • Terms of use. A "Terms of Service" agreement provides details about the relationship between VNClagoon and users. It sets forth clauses that embody the rules, requirements, restrictions, and limitations that a user must agree to use the VNClagoon applications.
    • Data privacy. The Data Privacy Policy provides details about what type of information is collected and tracked on the website, how the information may be used, and with whom the information may be shared.

Log out

Logging out of an account in the VNCtalk app does not delete your account. You can always add an account back later by using the LOGIN button.

  1. In the upper left corner, tap the hamburger menu icon .
  2. Tap the logout icon .
  3. When prompted, tap LOG OUT confirming that you want to log out.

Settings

Global settings

Global settings allow you to customize language, date format, time format, timezone, and more.

To change your global settings:

  1. In the upper left corner, tap the hamburger menu icon .
  2. Navigate to General settings > Global Settings.
  3. Customize your settings.
  4. In the upper right corner, tap the checkmark icon.

Option Description
Language This option allows you to select the language that you want to use. It is possible to set up 3 languages: English, German, and French.
Date format You can change how the date appears on VNCtalk. It is possible to set up 2 date format:
dd.mm.yyyy. Day-Month-Year with leading zeros and points (.) as the separator characters (17.02.2025);
mm/dd/yyyy. Month-Day-Year with leading zeros and backslashes (/) as the separator characters (02/17/2025);
dd/mm/yyyy. Day-Month-Year with leading zeros and backslashes (/) as the separator characters (17/02/2025).
Time format You can change how time appears on VNCtalk. It is possible to set up 2 time format:
12-hour format contains an AM or PM, where "AM" indicates times from midnight until noon and "PM" indicates times from noon until midnight.
24-hour format is based on the 24-hour clock that uses the numbers 00:00 to 23:59 (midnight is 00:00).
Timezone You can change the time zone in VNCtalk so that it matches your current location.
Send message with ENTER VNCtalk automatically sends a message when you hit the "Enter" key while composing. However, you can change the behavior by default and make it start a new line, and keep composing the same message.
To change the action assigned to the "Enter" key by default, switch off the Send message with ENTER toggle.
Add date stamp along with time stamp If you enable the "Add date stamp along with time stamp" option, you will be able to add a date to a time stamp on messages.
Allow screen share preview for the presenter By default, the option is disabled. If you enable the option, you can select what to share:
Your entire screen lets you show everything on your screen;
Application window lets you share an open window like a specific app you have open;
Chrome tab lets you share a single Chrome browser tab, hiding other tabs and windows. This option requires the Chrome browser.

Notification and sound settings

VNCtalk offers different ways to receive and manage notifications. These settings include how, when, and where your notifications appear, custom settings for chats, channels, broadcasts, sounds, and so on.

To change your notification & sound settings:

  1. In the upper left corner, tap the hamburger menu icon .
  2. Navigate to General settings > Notifications & Sound.
  3. Customize your settings.
  4. In the upper right corner, tap the checkmark icon.

Option Description
Chats, channels, mentions, and broadcast notifications You can control which types of notifications you want to enable.
Under the GET NOTIFIED section, tap Change and select which types of notifications you would like to receive.
Notification badge color You can customize the color of the notification badge that appears on a notification center icon when you have an active notification. By default, a notification badge is red.
Sticky notifications You can choose whether or not to display message previews in banner notifications:
No notifications. If you select this variant, you will not see a message notification in a browser when someone sends you a message;
Show non sticky notifications. If you select this variant, you will see a message notification in a browser when someone sends you a message, but the notification will disappear in some time;
Show sticky notifications. If you select this variant, you will see a message notification in a browser when someone sends you a message and the notification will be visible until you tap it or close it.
Note: The "Sticky notifications" option does not work in the Firefox browser.
Email notifications You can receive email notifications to alert you about new message(s). The email notifications suggest 2 setting options:
Email Notification period. Allows selecting the period for the notifications;
Email Notifications repeats. Allows selecting the notifications repeats.
Sound settings You can select how you would like to get notified of a new message or incoming audio/ video call.
Global mute VNCtalk gives you the choice to mute all notifications within the application. In the top menu of VNCtalk, tap the loudspeaker icon and it will turn red, confirming that you mute all notifications. To disable the global mute: tap the loudspeaker icon again.

Security and privacy settings

You can control your privacy by enabling/ disabling two-factor authentication and making certain information private or public.

To change your security & privacy settings:

  1. In the upper left corner, tap the hamburger menu icon .
  2. Navigate to General settings > Security & Privacy.
  3. Customize your settings.
  4. In the upper right corner, tap the checkmark icon.

Option Description
Read receipts The "Read Receipts" option allows you to see whether the recipient has read your message or seen your image/ video or not.
Check marks will appear next to each message you send. Here's what each one indicates:
The message was successfully sent;
The recipient has read your message.
Inform about typing If you enable the "Inform about typing" option, other users will be able to see if you are typing a message at the moment.
Publish last activity If you enable the "Publish last activity" option, other users will be able to see when you were online last time.
Do not load insecure content You have the option to disable blocking of insecure content.

Remove the OMEMO device

You can have up to 5 OMEMO-encrypted devices.

When you hit the maximum number of OMEMO encrypted devices, you cannot log in to VNCtalk with a new device. In that case, you'll get the notification stating "Exceeded OMEMO limit. Please deselect one of the devices first to enable encryption from the current device":

To disable one of the previous devices:

  1. In the upper left corner, tap the hamburger menu icon .
  2. Navigate to General settings > Security & Privacy.

    • You can also tap OPEN SETTINGS in the "OMEMO devices limit exceeded" modal box.
  3. Under the OMEMO DEVICES section, tap the trash bin icon next to the device you want to disable.

  4. When prompted, tap OK to confirm that you want to delete the device.

Then refresh the page so the current device will be added automatically.

Transfer secure chats

After you log in to VNCtalk, your device is registered in the system and assigned an ID. The ID looks as follows: 10161 Mobile Android 2021-02-24. Where:

  • 10161 — is a device ID;
  • Mobile — is a hardware type;
  • Android — is an operating system of a hardware type;
  • 2021-02-24 — is a log-in date from a device.

To check the device ID in your VNCtalk account:

To check the device ID in your VNCtalk account, tap the hamburger menu icon and then navigate to Settings > Security & Privacy:

Imagine that you enable E2E encryption for a group chat in the VNCtalk Web Client. Let's call the group chat "Testing" in this imaginary situation. Then you install the VNCtalk app and log in to the application for the first time. When you open the "Testing" group chat, you should see that you cannot read the previous messages because they are encrypted:

Can't decrypt the message - not intended for the current device

To read the previous messages, you should transfer them from the VNCtalk Web Client to Desktop Client. To do that, follow the steps below:

  1. Log in to VNCtalk:

    • on a device that you want to transfer encrypted messages from
    • on a device that you want to transfer encrypted messages to
  2. In the VNCtalk app on the device that you want to transfer messages from, tap the hamburger menu .

  3. Navigate to Settings > Security & Privacy.
  4. Tap SELECT CHATS.
  5. Select a chat that you want to transfer encrypted messages from and tap START. You should see the notification stating "Started discovering nearby devices".
  6. Get back to VNCtalk on a device that you want to transfer encrypted messages. Tap Accept in the Transfer secure chats modal box. You should see the notification stating "The chats are transferred successfully".

After the transfer is over, you can read encrypted messages.

Features settings

VNCtalk has a lot of useful features that you may use daily in many tasks. However, some features and chat addons can be enabled and disabled.

To change your features settings:

  1. In the upper left corner, tap the hamburger menu icon .
  2. Navigate to General settings > Features.
  3. Customize your settings.
  4. In the upper right corner, tap the checkmark icon.

Option Description
Enable/ disable chat swipe actions Swipe actions allow you to perform certain tasks without having to open the message or tap on the screen. You can swipe left or right to reply to a call or delete a chat.
Rich Text Format If you enable Rich Text Format, you will have the toolbar with icons for editing and formatting a text.
Enable/ disable keyboard on mobile You can turn off or disable a keyboard on your phone.
Enable/disable default VNCtalk features You can enable or disable such VNCtalk features as:
Channels;
Socials;
Broadcasts;
Whiteboard;
MCB (Multi Conference Board);
VNCpad.
Once you've disabled the "Channels", "Socials", and "Broadcasts" features, they disappear from the feature menu. Once you've disabled the VNCpad feature, it disappears from the header menu of the chat.

Appearance settings

You can change VNCtalk appearance settings such as theme, background for chat, and font size.

To change appearance settings:

  1. In the upper left corner, tap the hamburger menu icon .
  2. Navigate to General settings > Appearance.
  3. Customize your settings.
  4. In the upper right corner, tap the checkmark icon.

Option Description
Theme There are 3 themes in the application: VNCtalk, Purple, and Orange.
Font size You can make your font size smaller or larger. Drag the slider left and right to choose one of the font size options.

Contacts

View user profile

Every user in VNCtalk has a profile where you can view all available data about that person. You can also connect with a user through video/ audio calls, send a message, open a form to compose an email, or create a task for them.

To view a user's profile, do the following:

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Users.
  3. Tap the Contacts tab.
  4. Tap and hold a required user and then select User's profile.

Buttons that launch some actions in a corresponding VNC product:

  • Make a voice or video call to the user.
  • Start a chat.
  • Compose a new email.
  • Create a ticket/ task for a user.

A user's profile displays general information about your contact:

  • Full name
  • Email
  • Language
  • Role
  • Timezone
  • Company

Compose an email for a user

There are 2 ways to compose an email for the user.

Way 1. By using the "User's profile" option.

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Users.
  3. Tap the Contacts tab.
  4. Tap and hold a required user and then select User's profile.
  5. Tap the kebab menu icon and then select New Email.

Way 2. By using the envelope icon.

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Users.
  3. Tap the Contacts tab.
  4. Tap the user's avatar icon and then the envelope icon.

You should be redirected to VNCmail.

Create a ticket for a user

You can create a task for a user in case the user has the subscription for VNCproject.

There are 2 ways to create a ticket for a user.

Way 1. By using the "User's profile" option.

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Users.
  3. Tap the Contacts tab.
  4. Tap and hold a required user and then select User's profile.
  5. Tap the kebab menu icon and then select New Ticket.

Way 2. By using the ticket icon.

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Users.
  3. Tap the Contacts tab.
  4. Tap the user's avatar icon and then the ticket icon.

You should be redirected to VNCproject.

Create a task for a user

You can create a ticket for a user in case the user has the subscription for VNCtask.

There are 2 ways to create a task for a user.

Way 1. By using the "User's profile" option.

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Users.
  3. Tap the Contacts tab.
  4. Tap and hold a required user and then select User's profile.
  5. Tap the kebab menu icon and then select New Task.

Way 2. By using the task icon.

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Users.
  3. Tap the Contacts tab.
  4. Tap the user's avatar icon and then the task icon.

You should be redirected to VNCproject.

Block/ unblock a contact

There are 2 ways to block a user.

Way 1. Using the "Block user" option in a chat.

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Block user from the dropdown menu.

Way 2. Using the "Block user" option in a contact list.

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Users.
  3. Tap the Contacts tab.
  4. Tap and hold a required user and then select Block user.

View blocked contacts

All blocked users are added to the "Blocked" list. To access the list:

  1. In the upper left corner, tap the hamburger menu .
  2. Tap Users.
  3. Select the Blocked chip.

Unblock a contact

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Users.
  3. Select the Blocked chip.
  4. Tap the unblock user icon next to the user you want to unblock.

Add a contact to the "Favorite" list

There are 2 ways to add a user to the "Favorite" list.

Way 1. Using the "Add to favorites" option in a chat.

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Add to Favorites from the dropdown menu.

Way 2. Using the "Add to favorites" option in a contact list.

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Users.
  3. Tap the Contacts tab.
  4. Tap and hold a required user and then select Add to Favorites.

View favorite contacts

A user, marked as "favorite", is added to the "Favorite" list. To access the list:

  1. In the upper left corner, tap the hamburger menu .
  2. Tap Users.
  3. Select the Favorites chip.

Remove a contact from the "Favorite" list

There are 2 ways to remove a contact from the "Favorite" list.

Way 1. Using the "Remove from favorites" option in a chat.

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Remove from favorites from the dropdown menu.

Way 2. Using the star icon in a contact list.

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Users.
  3. Select the Favorites chip.
  4. Tap the star icon next to the user you want to remove from a "Favourite" list.

Contact groups

"Contact group" is an option for each user to group contacts according to individual requirements, for example for marketing purposes.

Create a contact group

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Users.
  3. Tap the plus icon and select New Group.
  4. Give a contact group name.
  5. Under the Participants section, tap the plus icon and select users you want to add to the group.
  6. Tap Save.
  7. Tap Create.

View your contact groups

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Users.
  3. Select the Groups tab.

Rename a contact group

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Users > Groups.
  3. Tap the kebab menu icon next to the contact group you want to edit.
  4. Select Edit group from the dropdown menu.
  5. In the Group Title field, type a new name.
  6. Tap Apply*.

Add a user to a contact group

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Users > Groups.
  3. Tap the kebab menu icon next to the group where you want to add a new contact.
  4. Select New Contact from the dropdown menu.
  5. Tap the plus icon and then select people from your contact list.
  6. Tap Apply*.

Remove a user from a contact group

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Users > Groups.
  3. Tap the kebab menu icon next to the group where you want to remove a contact.
  4. Select Edit group from the dropdown menu.
  5. Under the Participants section, tap a required user and then the cross icon on it.
  6. Tap Apply*.

Delete a contact group

It is not possible to restore deleted contact groups.

  1. In the upper left corner, tap the hamburger menu .
  2. Navigate to Users > Groups.
  3. Tap the kebab menu icon next to the group you want to delete.
  4. Select Delete group from the dropdown menu.
  5. When prompted, tap Delete confirming that you want to delete the group.

Chats

With the chat feature in VNCtalk, you can hold instant messaging conversations with people, share content and emojis, mention people, and send documents, images, or other content.

Start a chat

There are 2 ways to start a chat.

Way 1. Using the plus icon.

  1. Tap the plus icon at the bottom.
  2. Select Start Chat.
  3. Select the user you want to chat with.

Way 2. Using the "Chat" menu option.

  1. Tap the hamburger menu .
  2. Tap Users
  3. Tap and hold a required user and then select Chat.

Way 3. Using the message icon.

  1. Tap the hamburger menu .
  2. Tap Users
  3. Tap the user's avatar icon and then the message icon .

Access chat info

You can view basic info about a chat such as chat settings, the user's email, a collection of all the files sent in the chat, and more.

There are 2 ways to access chat info.

Way 1. Using the kebab menu icon.

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Profile from the dropdown menu.

Way 2. Using the "Chat" menu option.

  1. Tap the hamburger menu .
  2. Tap Users
  3. Tap and hold a required user and then select User's profile.

The information available in individual chats:

  • First name
  • Last name
  • Role
  • Company
  • Email

Info screen options available in individual chats:

  • Make a voice or video call to the user.
  • Start a chat.
  • Compose a new email.
  • Create a ticket/ task for a user.

Pin a chat

Some chats deserve to be prioritized and viewed at a glance.

The pin chat feature allows you to pin specific chats to the top of your chats list so you can quickly find them. You can select up to 5 chats to pin at once.

You pin one-on-one and group chats the same way.

There are 2 ways to pin a chat.

Way 1. From the chat list.

  1. Tap and hold the chat you want to pin.
  2. Select Pin chat.
  3. To unpin a chat, tap and hold a required chat, then tap Unpin chat.

Way 2. Using the kebab menu icon.

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Pin chat from the dropdown menu.

Add a user to a chat

You add a user to one-on-one and group chats the same way.

  1. Open a chat.
  2. Tap the kebab menu icon beneath the box where you type your message and then select Contact.
  3. Enter a chat name in the Group name field.
  4. Search or scroll through the list of existing users and tap each relevant user.

    • If you want to add an external user (member of another organization, not yours) — enter their email address in the field and tap the arrow icon.
  5. In the upper right corner, tap the checkmark.

You should see the created group chat in the chats list.

Disable/ enable notifications in a chat

If you do not want to receive a notification when somebody sends you a message or calls in a particular chat or group chat, you can disable notifications for this chat. You can enable the message notification any time you want.

You can mute:

  • Message notifications: you'll still receive messages sent to the individual or group chat but a pop-up message won't be shown.
  • Sound notifications: you'll still receive messages sent to the individual or group chat but a sound notification will be turned off.
  • Incoming calls: you'll still receive a call but a ringing sound and pop-up message will be turned off.
  • Everything: message notifications, sound notifications, and incoming calls will be turned off.

The following table outlines what the notification icons mean for a chat.

To disable notifications in a chat:

  1. Open a chat.
  2. Tap the notification icon .
  3. From the dropdown menu that appears, select which type of notifications you would not like to receive:

    • Stop a pop-up message notification: Tap Mute Notifications.
    • Stop a sound notification: Tap Mute Sound.
    • Stop a ringing sound and pop-up message when you receive a call: Tap Mute Incoming Calls.
    • Stop all notifications: Tap Mute Everything.
  4. To enable notifications, tap the crossed-out icon again.

Enable/ disable E2E encryption in a chat

You enable E2E encryption in one-on-one and group chats the same way.

There are 2 ways to enable E2E encryption in a chat.

Way 1. Using the kebab menu icon.

  1. Open a chat.
  2. Tap the kebab menu icon beneath the box where you type your message.
  3. Select Enable E2E Encryption from the dropdown menu.
  4. To disable E2E encryption, tap the kebab menu icon again and then select Disable E2E encryption.

Way 2. (This option is only available for a group chat) Using the "Chat info" option in a group chat.

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Chat Info from the dropdown menu.
  4. Under the SETTINGS section, toggle on or off Enable OMEMO encryption.

Once you've enabled E2E encryption, you should see that there is a corresponding message, for example:

Also, you should see the key icon on the chat avatar.

Archive/ unarchive a chat

The archive chat feature allows you to hide a chat from your chats list to better organize your conversations.

You archive one-on-one and group chats the same way.

There are 2 ways to archive a chat.

Way 1. From the chat list.

  1. Tap and hold the chat you want to archive.
  2. Select Archive.

Way 2. Using the kebab menu icon.

  1. Open a chat.
  2. Tap the kebab menu icon beneath the box where you type your message.
  3. Select Archive from the dropdown menu.

View archived chats

All archived chats/ group chats are stored in the "Archive" list.

  1. Tap the hamburger icon .
  2. Navigate to Archive & Trash.
  3. Select Archive.

Unarchive a chat

You can unarchive or delete archived chats from the "Archive" list at any time.

  1. In the upper left corner, tap the hamburger icon .
  2. Navigate to Archive & Trash.
  3. Select Archive.
  4. Select one of the following options:

    • tap next to the chat you want to unzip.
    • tap the trash icon next to the chat you want to delete. Confirm that you want to delete the archived chat/group chat - tap Delete in the modal window.

Delete a chat

You delete one-on-one and group chats the same way.

  1. Tap and hold a chat you want to delete.
  2. Tap Remove From Recent.
  3. If prompted, tap the Remove to confirm that you want to delete a chat.

Search in a chat

Searching messages in one-on-one and group chats works the same way.

Search across all chats

  1. Type a keyword into the search box above a list of chats.
  2. When results appear, toggle between Chats, Contacts, All messages, and Groups.
  3. To open a result, tap it.

Search within a chat

  1. Open a chat.
  2. Tap the kebab menu icon beneath the box where you type your message.
  3. Select Search from the dropdown menu.
  4. Enter a search term in the field and tap Return.
  5. To set the time period for the search, tap the calendar icon , select a required date.
  6. To search for a specific word across starred messages, tap the star icon .

Group chats

Start a group chat

There are 2 ways to start a group chat.

Way 1. Using the "Start group chat" option.

  1. Tap the plus icon at the bottom.
  2. Select Start group chat.
  3. Enter a group chat name.
  4. Tap the avatar icon to add a group chat image. Tap Upload and select an image from your device, adjust it, and tap the checkmark in the lower right corner.
  5. Tap the plus icon to add users to the chat. Select the users you want to invite to a group and then tap the checkmark icon in the upper right corner.
  6. (Optional) Tap Settings, if you want to add tags and customize privacy and security options.
  7. (Optional) Tap Add a description if you want to add a description.
  8. Tap the checkmark in the upper right corner.

You should see the created group chat in the chats list.

Way 2. Adding a user in a one-on-one chat.

You can bring others into the conversation. To add someone to a one-on-one chat, refer to the "Add a user to a chat" section, for the step-by-step guide.

Access group chat info

You can view basic info about a chat such as who's in a group chat, chat security and privacy settings, a collection of all the files sent in the chat, and more.

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon ![](images/mobile/kebab-menu-mobile.png "Kebab Menu Mobile".
  3. Select Chat Info from the dropdown menu.

The information available in group chats:

  • Participants. See who’s in a group chat. A tap on the kebab icon in the participant list allows one to view participant profile information, change a role, make an Audio or Video Call, or send a message.
  • Info. See and edit the chat name, description, and tags. You can also customize security and privacy settings.
  • Files. A collection of all the images, videos, docs, voice messages, and saved meetings.

Info screen options available in group chats:

  • Make a voice or video call to the user.
  • Add people to the conversation.
  • Change a group chat's avatar.
  • Change chat name and description
  • Enable/ Disable OMEMO Encryption
  • Customize chat history & privacy settings
  • Manage attached files

Add a user to a group chat

There are two ways to add a participant to a group chat.

Way 1. Using the "Add participants" button.

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Chat Info from the dropdown menu.
  4. Tap the Add participants button.
  5. Assign a required role for a user: Moderator, Participant, or Audience. The default settings make every user you add to a chat a Participant.
  6. Select a user from the list or use the magnifier icon for searching.

    • If you want to add an external user (member of another organization, not yours) - enter their email address into the field and tap the arrow icon.
  7. In the upper right corner, tap the checkmark.

In the group chat, you should see the notification stating "Added 1 participant".

Way 2. Using the "Add participants" dropdown menu option.

Remove a user from a group chat

Only the Moderator can delete a user from group chats.

There are 3 ways to delete a user from a group chat.

Way 1. From the "Chat Info" section.

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Chat Info from the dropdown menu.
  4. Navigate to the Participants tab.
  5. Tap the kebab menu icon next to the user you want to remove from a group chat.
  6. Select Remove from chat from the dropdown menu.

Way 2. Using the "Add Participants" option.

  1. Open a chat.
  2. Tap the kebab menu icon beneath the box where you type your message.
  3. Select Contact from the dropdown menu.
  4. Tap the cross icon on a required user.
  5. In the upper right corner, tap the checkmark.

Way 3. Using the "Add Participants" button.

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Chat Info from the dropdown menu.
  4. Tap the Add participants button.
  5. The further steps are the same as for the second way of removing a user from a group chat.

Find and join a private chat group

  1. In the search box above a list of chats, enter the name of the group you are looking for.
  2. When results appear, tap Group chats.
  3. Tap a required group.
  4. When prompted, tap Yes confirming that you want to request access. You will see the notification stating "Your request has been sent. You will be notified when access is approved."

You may have to wait for a group admin to approve your request. When you join a group, participants in the group chat will see that you are a participant.

Grant access to a user

Group admins will have to approve participation requests before someone can join the chat group.

  1. Open a group chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Chat Info from the dropdown menu.
  4. Navigate to the Participants tab.
  5. Under the Open join requests section, you can see a list of join requests. Tap the kebab menu icon next to the user you want to grant access to and then select Grant access.

Once a group admin has granted someone access, they can access that group chat’s resources, share files, and communicate with other chat participants.

Edit group chat info

Only a group admin can change the group chat name, description, and avatar and add/ delete tags.

Change a group chat name

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Chat Info from the dropdown menu.
  4. Tap the pencil icon to the right of Chat name and make your changes. The changes will take effect immediately.

Change a group chat description

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Chat Info from the dropdown menu.
  4. Tap the pencil icon to the right of Description and make your changes.

Add tags to a group chat

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon ![](images/mobile/kebab-menu-mobile.png "Kebab Menu Mobile".
  3. Select Chat Info from the dropdown menu.
  4. Tap the pencil icon to the right of Tags.
  5. Search or scroll through the list of existing tags and tap it.
  6. To delete a tag, tap "x" next to the tag.

Change a group chat avatar

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Chat Info from the dropdown menu.
  4. Tap the pencil icon .
  5. Tap Upload. You can choose a photo from your library or take a new photo with your camera.
  6. After uploading the picture, you can crop the picture, and change the position and size.
  7. Tap the checkmark icon at the bottom.

Change group chat permissions

Participants in a group chat have different roles. You can be a Participant, Audience, and Moderator. Their privileges are as follows:

  • Participant: Group participants have no permission to manage group chat settings, but their personal ones.
  • Audience: Users in the Audience can follow the chat, but can not participate actively.
  • Moderator: Group Moderators manage the roles, the chat´s name and description, and settings. The creator of a group is by default the group moderator. There can be several moderators.

By default, any group participants can send messages. However, a group admin can change group settings to allow only admins to send messages. The group admin can do that by changing a user's role from "Participant" to "Audience".

  1. Open a group chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Chat Info from the dropdown menu.
  4. Tap the Participant tab.
  5. Tap the kebab menu icon next to the participant for whom you want to change a role.
  6. Tap Change role and select a required option from the dropdown menu.

Customize chat history settings

As a group chat moderator, you can specify whether to share chat history with new participants or not. You can set the following options:

  • Share your chat history with new participants
  • Don't share your chat history
  • Ask every time you add a new participant

To change chat history settings, do the following:

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Chat Info from the dropdown menu.
  4. Toggle on Clear chat history and select a required option.

Add a group chat to the "Favorite" list

You can mark group chats as favorites to make them easy to find.

There are 2 ways to add a group chat to favorites.

Way 1. From the chat list.

  1. Tap and hold a chat.
  2. Tap Add to Favorites.
  3. To remove a group chat from the Favorites list, tap and hold a chat and then Remove from Favorites.

Way 2. Using the kebab menu icon.

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Add to Favorites from the dropdown menu.

You can view your favorite chats by tapping the Favorites chip, where you will see a list of individual and group chats you've marked as favorites.

Messages

Reply to a message

You can respond to a specific message in an individual or group chat.

  1. Open a chat.
  2. Tap and hold the message you want to reply. This will highlight the message in blue, and show your options on a toolbar at the top of the screen.
  3. Tap the reply icon .
  4. Enter your response.
  5. Tap the Send button .

Copy a message

  1. Open a chat.
  2. Tap and hold the message you want to copy. This will highlight the message in blue, and show your options on a toolbar at the top of the screen.
  3. Tap the copy icon .
  4. It will copy the selected chat message to the clipboard. You can now paste the copied message to another chat.

Forward a message

You can forward messages from an individual or group chat to another individual or group chat. Forwarded messages are indicated with a Forwarded label.

  1. Open a chat.
  2. Tap and hold the message you want to forward. This will highlight the message in blue, and show your options on a toolbar at the top of the screen.
  3. Tap the forward icon .
  4. Search for or select the user or group chat you want to forward the messages to.

Delete a message

When you delete messages, they are deleted for everyone. Once a message is deleted, the app displays a notification stating Message is deleted.

  1. Open a chat.
  2. Tap and hold the message you want to delete. This will highlight the message in blue, and show your options on a toolbar at the top of the screen.
  3. In the upper right corner, tap the kebab menu .
  4. Select Delete message from the dropdown menu.

Perform bulk actions on messages

You can select more than one message to delete, copy, or forward them.

  1. Open a chat.
  2. Tap and hold the message you want to delete, copy, or forward. This will highlight the message in blue, and show your options on a toolbar at the top of the screen.
  3. Select any additional messages you want to delete, copy, or forward.
  4. Tap one of the following on a toolbar at the top of the page:

    • Delete .
    • Copy .
    • Forward : Select a required user or use the search field for searching.

Send a message by email

  1. Open a chat.
  2. Tap and hold the message you want to send by email. This will highlight the message in blue, and show your options on a toolbar at the top of the screen.
  3. In the upper right corner, tap the kebab menu .
  4. Select Email to a Friend from the dropdown menu.
  5. Enter an email address in the field.
  6. Tap the Send button .

Record a voice message

VNCtalk voice messaging allows you to instantly communicate in one-on-one and group chats.

  1. Open a chat.
  2. Tap the microphone icon . You should see that the recording has started.
  3. To send the voice message, tap the checkmark button . To stop recording the voice message, tap the cross button .

Mention the user

You can directly notify someone that a message needs a response by mentioning them in a group chat. When you mention someone, they'll get a notification. Only people who are already in the group chat can be mentioned in this way.

  1. Open a group chat.
  2. In the text box, type @ followed by the user’s name.
  3. When it appears, tap the name of the user you want to mention.
  4. Write your message.
  5. Tap the Send button .

You can also write @all to mention everyone who is a member of the chat group.

You can view chats with your name mentioned by tapping the Mentions chip. When viewing a chat group with a message you were mentioned in, your username will be highlighted in blue.

Add reactions to a message

In VNCtalk, you express how you feel about a message with reactions. A reaction is a small emoji that appears next to a message.

  1. Open a chat.
  2. Tap the emoji icon near the message you want to react to.
  3. Choose an emoji reaction.
  4. To remove a reaction, tap the highlighted reaction.

Mark a message as a favorite

The starred messages feature allows you to bookmark specific messages so you can quickly refer back to them later.

  1. Open a chat.
  2. Tap the star icon on a message and the star will turn yellow, confirming that you've marked the message as a favorite.
  3. To unmark a message as favorite, tap the star icon again.

Use emoji

  1. Open a chat.
  2. Tap the emoji icon beneath the box where you type your message.
  3. In the input field of the emoticon window that appears, you can also type any keyword to get relevant emoji suggestions - like :heart.
  4. You can also switch between differenet types of emoji.
  5. To switch back to your text box, tap .

Use Rich Text Format

You can bold and italicize text in chat messages. You can also underline text, change text color, and add bullet points.

Ensure that Rich Text Format is enabled. Refer to the "Feature settings" section, for a step-by-step instruction.

  1. Open a chat.
  2. Tap the rich text format icon beneath the box where you type your message.
  3. You should see the box where you can type a message using the Rich Text Format feature.

Extend the field for typing a message

  1. Open a chat.
  2. Tap the kebab menu icon beneath the box where you type your message.
  3. Select Full Screen from the dropdown menu.
  4. To shrink a text field, tap the kebab menu icon and then select Collapse.

Share location

This feature isn't available on VNCtalk Desktop and Web Client, but it is available on the VNCtalk app.

  1. Open a chat.
  2. Tap the kebab menu icon beneath the box where you type your message.
  3. Select Location from the dropdown menu.

    • If prompted, tap the YES to confirm that you want to transmit the location.
    • If it is required, allow VNCtalk to access the device location.
  4. Drag the map so that the red pin is at the location you want to send.

  5. Tap the checkmark in the upper right corner.

Audio & Video Conferencing

Video meeting roles and permissions

Every user has a role, each with its level of permissions and access in a video meeting.

There are three channel roles: Moderator, Participant, and Audience. Their privileges are as follows:

  • Moderator: The user who started a video meeting. The owner has the most editing privileges in the video meeting, including adding participants and assigning them roles. There can be only one channel owner. The star icon indicates a moderator. A user with this badge is a Moderator.
  • Participant: Someone who has joined the video meeting and has been given certain editing privileges. There can be multiple video meeting participants. A user with this badge is a Participant.
  • Audience: Someone who has joined the video meeting. A user with the eye badge is an Audience.

The following table outlines what actions the Moderator, Participant, and Audience can perform in a video meeting.

Change a role during a video meeting

Only the Moderator can change a role for users in a video meeting.

  1. While in the meeting, tap the down arrow in the upper left corner. When you do that, your video appears as a floating window and you get access to a video meeting chat.
  2. In the upper right corner, tap the kebab menu icon and select Chat Info from the dropdown menu.
  3. Navigate to the Participants tab.
  4. Tap the kebab menu icon next to the user for whom you want to change a role.
  5. Select Change role from the dropdown menu.
  6. Assign a required role for participants — Moderator, Audience, or Participant.

Start a video meeting

To create a new meeting and join the meeting directly, do the following:

  1. In the bottom right corner, tap the plus icon.
  2. Select Start video meeting to start an instant video meeting.
  3. Enter a video meeting name.
  4. Tap the plus icon to add participants to your video meeting.
  5. (Optional) Tap the camera icon to add a video meeting image. Tap Upload and then select an image from your device, crop it, and tap the checkmark icon in the bottom right corner.
  6. (Optional) Tap Settings to add tags and set a password. Once done, tap the checkmark in the upper right corner to save all of the changes.

    • Setting a password for the video meeting, all the participants will have to enter this password to access the video meeting. You should provide all the participants with this password.
  7. In the upper right corner, tap the checkmark.

Schedule a video meeting

  1. Follow the steps 1 through 7 from "Start a video meeting" instruction.
  2. Tap Schedule to schedule a video meeting.
  3. Select the meeting date, time, and expected duration.
  4. In the upper right corner, tap the checkmark.

Add users to a video meeting in progress

You can add people to a video meeting in a video meeting before and after the meeting starts.

Every meeting participants will continue to have access to the meeting chat, the recording, and anything else people share in the meeting (like files and meeting notes), even after the meeting ends.

  1. While in the meeting, tap the down arrow in the upper left corner. When you do that, your video appears as a floating window and you get access to a video meeting chat.
  2. In the upper right corner, tap the kebab menu icon and select Chat Info from the dropdown menu.
  3. Tap the add participant icon .
  4. Assign a required role for participants — Moderator, Audience, or Participant.
  5. Search for people you want to add to a meeting and select them.
  6. In the upper right corner, tap the checkmark.

They will join a meeting right away.

Invite external users to a video meeting

You can start a video meeting not only with internal users, who are members of your organization but also with external users, who do not belong to your organization.

  1. Follow the steps 1 through 7 from "Start a video meeting" instruction.
  2. Tap the plus icon to add participants to your video meeting.
  3. Enter the user's email address in the search field and tap Return on the keyboard.
  4. Tap the arrow icon. The address will appear in a circle if it has been successfully entered as a participant.
  5. In the upper right corner, tap the checkmark.

This will send out an invite to the user with a link to join a video meeting.

Remove a user from a video meeting group

Only the Moderator can remove users from a video meeting group.

If you remove a user from a group chat, they will be removed from a video meeting too.

  1. While in the meeting, tap the down arrow in the upper left corner. When you do that, your video appears as a floating window and you get access to a video meeting chat.
  2. In the upper right corner, tap the kebab menu icon and select Chat Info from the dropdown menu.
  3. Navigate to the Participants tab.
  4. Tap the kebab menu icon next to the user for whom you want to change a role.
  5. Select Remove from chat from the dropdown menu.

Leave a video meeting

It doesn't matter who you are, moderator, participant, or audience, leaving the meeting means that you are ending it for everyone.

  1. On the remote control, tap the End Call button.
  2. Confirm that you want to end a video meeting — tap End in the modal window.

Join a video meeting from a chat

If the meeting has already begun, it appears in your recent chat list.

  1. Tap the Meetings chip.
  2. Open a chat.
  3. Tap Join at the top of the chat.

Join a video meeting as an external user

Users who do not have a VNCtalk account can also join a video meeting.

  1. Before a video meeting is due to start, open the invitation email and tap the Join the Meeting button at the bottom. The button will open up a VNCtalk page in your web browser.
  2. If prompted, allow access to your microphone and webcam. If you do not do this, other users in the meeting will not be able to see or hear you.
  3. Enter the name other users in the meeting will see.
  4. (Optional) Enter the company's name, role, and password.
  5. Tap Join.

If the organizer has not yet started the meeting, you will see the screen below. Otherwise, you will be taken straight into the meeting.

View scheduled/ previous video meetings

You can view your scheduled meetings by navigating to Meetings via the navigation bar, where you will see a list of your upcoming and previous meetings.

Edit a scheduled video meeting

Only organizers can modify meetings.

You can make changes to meetings that you have already scheduled from the chat list or video meeting chat.

If adding additional participants to the meeting, append new participants to the existing list; removing the original participants from the list will cause them to receive meeting canceled emails.

Way 1. From the chat list.

  1. Tap the Meetings chip.
  2. Tap and hold a video meeting you want to edit.
  3. Select Modify scheduled meeting.
  4. Make the desired changes to the meeting.
  5. In the upper right corner, tap the checkmark.

Way 2. From the video meeting chat.

  1. Tap the Meetings chip.
  2. Open the video meeting you want to edit.
  3. In the upper right corner, tap the kebab menu icon and then Modify scheduled meeting.
  4. Make the desired changes to the meeting.
  5. In the upper right corner, tap the checkmark.

When you're finished, all the meeting participants will see the notification stating Mia Chesterfield has updated the group photo. An updated meeting invitation is sent out to all the invitees after the changes are saved.

Cancel a scheduled video meeting

Only organizers can cancel meetings.

You can cancel scheduled upcoming video meetings if the meeting isn’t necessary and you want to let the meeting participants know the meeting is canceled. You can do that from the chat list or the video meeting chat.

Way 1. From the chat list.

  1. Tap the Meetings chip.
  2. Tap and hold a video meeting you want to cancel.
  3. Select Cancel scheduled meeting.
  4. Confirm that you want to cancel the video meeting - tap Yes in the modal window.
  5. Type a message to let the participants know the meeting is canceled. It’s not necessary, but it helps to avoid confusion.
  6. Tap Send.

Way 2. From the video meeting chat.

  1. Open the video meeting you want to cancel.
  2. In the upper right corner, tap the kebab menu icon and then Cancel scheduled meeting.
  3. Confirm that you want to cancel the video meeting - tap Yes in the modal window.
  4. Type a message to let the participants know the meeting is canceled. It’s not necessary, but it helps to avoid confusion.
  5. Tap Send.

When you're finished, you should see the notification stating Meeting canceled and the meeting participants receive an email containing that the video meeting has been canceled by the organizer.

Switch to floating video view

If you want to text a message during an audio/ video call, you can switch to a floating video view.

  1. In a call, tap the down arrow in the upper left corner.
  2. When you do that, your video appears as a floating window.
  3. Tap the floating video window to return to the full window.

Expand to full screen during an audio/ video call

You can set someone to be visible on your phone’s entire screen.

  1. To see someone on full screen, tap on the user's avatar icon.
  2. When you do that, the selected person’s video feed will occupy the entire screen with your video appearing as an avatar icon at the top right corner.

Switch from front to back camera during a video call

VNCtalk will select the facing default camera to display videos when video calling. To switch from front to back camera and vice versa:

  1. In the upper right corner, tap the camera icon to switch to the back camera.
  2. Tap it again to switch back to the front camera.

Turn the camera on or off

  1. To turn on your camera during a meeting, tap the camera icon in the meeting control at the bottom of your screen.
  2. To turn off your camera, tap the camera icon again.

Mute/ unmute the microphone

If you are already muted in a meeting and you want to speak:

  1. Tap the microphone icon in meeting control at the bottom of your screen.
  2. To turn off your microphone, tap the microphone icon again to mute yourself.

Activate the loudspeaker

To activate the loudspeaker on a mobile device, tap the speaker icon in the meeting control.

Record a video meeting

Recording meetings is useful when you want to review the meeting later or share it with people who couldn’t attend.

  1. In the upper right corner, tap REC . You should see that the recording is in progress:

    • Other participants are notified when the recording starts or stops.
  2. To stop recording, tap the stop button .

  3. You should see the notification stating "The recording is completed". Select an option:

    • Close the notification.
    • Open in files.
    • Download.

A recorded video meeting is saved in the Meetings folder. To access the folder, as follows:

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon and then select Media.
  3. Swipe left and tap the Meetings tab.

Audio/ video calls

Start an audio/ video call

The process for starting in group chats is the same as in one-on-one chats.

  • When you start an audio/ video call in a group chat, select whether you want to start a call with all users of the group chat or a particular user.
  • If you want to start an audio/ video call with a particular user, navigate to the Selected only tab and then select a required user. Once done, tap Start.

There are 3 ways to start an audio or video call:

Way 1. Using the handset/ camera icon in a chat.

  1. Open a chat.
  2. In the chat header, tap the handset icon to start an audio call.
  3. In the upper right corner, tap the kebab menu icon and then select Voice call from the dropdown menu to start a video call.

Way 2. From the chat list.

  1. Tap and hold a chat.
  2. Select Video Call from the dropdown menu.

Way 3. Using the Action Wheel.

  1. In the upper left corner, tap the hamburger menu icon
  2. Navigate to Users.
  3. Select the Contacts tab.
  4. Tap the user's avatar and then select the handset or camera icon.

Way 4. Using the "Voice call"/ "Video Call" menu options.

  1. In the upper left corner, tap the hamburger menu icon
  2. Navigate to Users.
  3. Select the Contacts tab.
  4. Tap and hold a required user, then select Voice call or Video call.

Answer an audio/ video call

If you receive an incoming call, do one of the following:

  • Tap to accept an incoming call/ accept a video call as an audio call.
  • Tap to accept a video call with the enabled camera.
  • Tap to decline a call.

If you miss an audio call, you should see the notification stating Missed call.

Broadcasts

VNCtalk Broadcast is a fast way to inform individual participants or defined groups and recipient lists about events of any kind. You can just write a broadcast message and everyone in the selected group will be informed immediately.

If someone wants to answer your broadcast or has a question, a 1:1 chat with the creator of the broadcast will automatically be created.

Create a broadcast

It is possible to create a broadcast with a minimum of 2 users. Also, you can add group chat participants to a broadcast.

  1. In the lower right corner, tap the plus icon.
  2. Select Broadcast.
  3. Enter a broadcast name.
  4. Search for required participants using the search field or select a required group chat.
  5. Tap the start broadcast button .

You can check the created broadcast in the Broadcast tab.

Access files in a broadcast

You can view basic info about a broadcast such as privacy settings, broadcast participants, a collection of all the files sent in the chat, and more.

  1. Navigate to Broadcasts.
  2. Open a broadcast.
  3. In the broadcast header, tap the kebab menu icon and then select Media from the dropdown menu.

From the "Files" page you can find all sent image(s)/ video (s)/ document(s)/ voice message(s)/ meetings by entering the keyword in the search field.

Disable/ enable notifications in a chat

The instruction to enable/ disable E2E encryption in a broadcast is the same as for a chat. So, refer to the "Disable/ enable notifications in a chat" instruction, but perform the steps with a required broadcast.

Enable/ disable E2E encryption in a chat

  1. Navigate to Broadcasts.
  2. Open a broadcast.
  3. Tap the kebab menu icon beneath the box where you type your message.
  4. Select Enable E2E Encryption from the dropdown menu.
  5. To disable E2E encryption, tap the kebab menu icon again and then select Disable E2E encryption.

Customize chat history settings in a broadcast

  1. Navigate to Broadcasts.
  2. Open a broadcast.
  3. In the broadcast header, tap the kebab menu icon and then select Settings from the dropdown menu.
  4. Under the Privacy section, toggle on Clear chat history.
  5. Select the period to store messages.

Add a broadcast to the "Favorite" list

You can mark broadcasts as favorites to make them easy to find.

There are 2 ways to add a broadcast to the "Favorites" list.

Way 1. From the broadcast list.

  1. Navigate to Broadcasts.
  2. Tap and hold the broadcast you want to add to favorites.
  3. Select Add to Favorites from the dropdown menu.
  4. To remove a group chat from the "Favorites" list, tap and hold a chat and then Remove from Favorites.

Way 2. Using the kebab menu icon.

  1. Navigate to Broadcasts.
  2. Open a broadcast.
  3. In the broadcast header, tap the kebab menu icon and then select Add to Favorites from the dropdown menu.

Search within a broadcast

  1. Navigate to Broadcasts.
  2. Open a broadcast.
  3. Tap the kebab menu icon beneath the box where you type your message.
  4. Select Search in chat from the dropdown menu.
  5. Enter a search term in the field and tap Return/ Enter on your keyboard.
  6. To search for a specific word across starred messages, tap the star icon .

Attach a file to a broadcast

The instruction to attach a file in a broadcast is the same as for a chat. So, refer to the "Attach a file" instruction, but perform the steps with a required broadcast.

Share location in a broadcast

The instruction to share location in a broadcast is the same as for a chat. So, refer to the "Share location" instruction, but perform the steps with a required broadcast.

Use Rich Text Format in a broadcast

The instruction to use the Rich Text Format in a broadcast is the same as for a chat. So, refer to the "Use Rich Text Format" instruction, but perform the steps with a required broadcast.

Extend the field for typing a message in a broadcast

The instruction to extend the field for typing a message in a broadcast is the same as for a chat. So, refer to the "Extend the field for typing a message" instruction, but perform the steps with a required broadcast.

Record a voice message in a broadcast

The instruction to record a voice message in a broadcast is the same as for a chat. So, refer to the "Record a voice message" instruction, but perform the steps with a required broadcast.

Delete a broadcast

  1. Navigate to Broadcasts.
  2. Tap and hold the broadcast you want to delete.
  3. Select Delete conversation from the dropdown menu.

Files

Attach a file

You can add files from ownCloud as well as from your phone to chats.

  1. Open a chat.
  2. Choose from the following options:

    • If you want to attach a file from your phone, tap the clip icon beneath the box where you type your message.
    • If you want to attach a file from ownCloud, tap the ownCloud icon beneath the box where you type your message.
  3. Select the files you want to add.

Access files in a chat

All sent images/ documents/ voice messages / videos/ meetings are stored in the "Media" folder.

To access files in one-on-one and group chats:

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Media from the dropdown menu.

You can also access files in a group chat by using the "Chat info" option.

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Chat info from the dropdown menu.
  4. Tap the down arrow next to Info and then select Files.

Manage attached files

From the "Files" page you can find all sent image(s)/ video (s)/ document(s)/ voice message(s)/ meetings by entering the keyword in the search field.

When you search, you have these options:

  • Group results by date or user: Below the search field, tap the Group dropdown and select Date or User.
  • Start a new search: Tap in the search field.
  • Open a result: Tap it.
  • Download a result: Tap the kebab menu icon next to the file you want to download. Select Download from the dropdown menu.
  • Preview a result: Tap the kebab menu icon next to the file you want to preview. Select File preview from the dropdown menu.
  • Send a result to a chat: Tap the kebab menu icon next to the file you want to send to a chat. Select Send to from the dropdown menu. In the Send to box that opens, select or search for a chat you want to send the file and tap it.
  • Email a result to a friend: Tap the kebab menu icon next to the file you want to email to a friend. Select Email to a friend from the dropdown menu. In the Email to friend box that opens, fill in the fields and then tap Send.

Change the view of files

Files can be displayed in two ways - list or tiles. To change the view of files:

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Chat info from the dropdown menu.
  4. Tap the Files tab.
  5. Tap or to change to the view you want to see.

    • Tiles. Displays medium-sized icons of the files with their names, the date when they were sent, and who sent them.
    • List. Displays small icons of the files with their names, the date when they were sent, and who sent them.

Media file preview

VNCtalk supports the following file types when previewing:

  • Images files
  • Video files

Preview a media file

Media files are opened in a media previewer. You can tap the left and right arrows to navigate through all files shared in the respective chat. Zoom is supported. The action menu allows forwarding media to a different chat, downloading it, or sending it to the ownCloud.

Forward a media file

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Media from the dropdown menu.
  4. Tap an image/ video to open it.
  5. In the top menu, tap the forward icon .
  6. Search for or select a chat you want to forward an image/ video to and tap it.

Download a media file

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Media from the dropdown menu.
  4. Tap an image/ video to open it.
  5. In the top menu, tap the download icon .

Send a media file to ownCloud

You can send an image/ video to ownCloud within the media previewer.

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Media from the dropdown menu.
  4. Tap an image/ video to open it.
  5. In the top menu, tap the kebab menu icon and then select Send to ownCloud.
  6. Select a folder where you want to send your media or tap if you want to create a new one.
  7. In the upper right corner, tap the checkmark.

Email a media file to a friend

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Media from the dropdown menu.
  4. Tap an image/ video to open it.
  5. In the top menu, tap the kebab menu icon and then select Email to a friend.
  6. Enter an email address in the field.
  7. Tap Send.

Delete a media file

  1. Open a chat.
  2. In the upper right corner, tap the kebab menu icon .
  3. Select Media from the dropdown menu.
  4. Tap an image/ video to open it.
  5. In the top menu, tap the kebab menu icon and then select Delete.

ownCloud

Currently, you can search, view, download, and share your ownCloud files and folders right from VNCtalk.

Share with users and groups

You can share the files and folders that you store in your ownCloud with anyone in VNCtalk.

  1. Open a chat.
  2. Tap the ownCloud icon beneath the box where you type your message.
  3. Tap the kebab menu icon next to the file you want to send to and then select Share with users and groups.
  4. Enter the name of the user or a group you want to share with.
  5. In the upper right corner, tap the checkmark icon.

The recipient will need to enter the password to access the shared resource.

You can create multiple public links per file or folder. This offers a lot of flexibility for creating different kinds of share links for a single file or folder, such as different passwords, expiry dates, and permissions.

  1. Open a chat.
  2. Tap the ownCloud icon beneath the box where you type your message.
  3. Tap the kebab menu icon next to the file you want to send to and then select Share a public link.
  4. Provide the name in the Link Name field.
  5. Set the permission parameters:

    • Download / View. Allows recipients to view or download the public link’s contents.
    • Download / View / Edit. Allows recipients to view, download, edit, and delete the public link’s contents.
    • Download / View / Upload. Allows recipients to view, download, and upload the public link’s contents.
    • Upload only. Allows users to create a drop folder, which can receive files from multiple recipients without revealing the contents of the folder.
  6. Set a password to protect the link.

  7. Set an expiry date for the link. The public link expires at the end of the specified date.
  8. In the upper right corner, tap the checkmark icon.

  • Now that the share is created and copied to the clipboard, you can manually paste the link to send it.
  • To access public link shares tap the Shared by link tab.

This shows details about public links (if they have been created) such as their names, share permissions, and sharing status.

  1. Open a chat.
  2. Tap the ownCloud icon beneath the box where you type your message.
  3. Tap the kebab menu icon next to the file shared and then select Details from the dropdown menu.

From here, you can also edit, copy, or delete your public link shares.

You can change any of the properties of a public link:

  1. Tap the kebab menu icon next to the file shared and then select Details from the dropdown menu.
  2. Click the kebab menu icon next to the public link you want to edit and then select Edit.
  3. In the "Edit a public link" page, you can:

    • Rename a file. When you rename a public link, it only renames your version; no other users see the new public link name.
    • Change public link permissions.
    • Protect a public link with a password.
    • Set, adjust or remove the expiration date.
  4. In the upper right corner, tap the checkmark icon.

  1. From the public link detail page, tap the kebab menu icon next to the public link you want to copy.
  2. Select Copy to clipboard from the dropdown menu.
  3. Now that the public link is copied to the clipboard, you can manually paste the link to send it.

It's worth noting that you do not delete a public link. Rather what you do is remove the access of users with whom it is already been shared.

  1. From the public link detail page, tap the kebab menu icon next to the public link you want to delete.
  2. Select Delete from the dropdown menu.

To do that, the user should no longer have access to the public link you shared earlier.

Mark a file as a favorite

  1. Open a chat.
  2. Tap the ownCloud icon beneath the box where you type your message.
  3. Tap the star to mark it as a favorite.
  4. You can quickly find all of your favorites with the Favorites filter.
  5. To unmark a file/folder as a favorite, tap the star icon again.

Rename an ownCloud file/ folder

  1. Open a chat.
  2. Tap the ownCloud icon beneath the box where you type your message.
  3. Tap the kebab menu icon next to the file/ folder you want to rename and then select Rename from the dropdown menu. The file’s current name will be displayed in an editable text box.
  4. Change the name.
  5. Tap the checkmark icon. If you don’t want to rename it, tap , and the file name will be left as is.

Download an ownCloud file/ folder

There are 2 ways to download an ownCloud file/ folder.

Way 1. Using the "Download" menu option.

  1. Open a chat.
  2. Tap the ownCloud icon beneath the box where you type your message.
  3. Tap the kebab menu icon next to the file/ folder you want to download and then select Download from the dropdown menu.

Way 2. Using the download icon.

  1. Open a chat.
  2. Tap the ownCloud icon beneath the box where you type your message.
  3. Check the box next to a file/ folder you want to upload.

    • In that way, you can download multiple files at once.
  4. Tap the download icon at the top.

Delete an ownCloud file/ folder

There are 2 ways to delete an ownCloud file/ folder.

Way 1. Using the "Delete" menu option.

  1. Open a chat.
  2. Tap the ownCloud icon beneath the box where you type your message.
  3. Tap the kebab menu icon next to the file/ folder you want to delete and then select Delete from the dropdown menu.

Way 2. Using the trash bin icon.

  1. Check the box next to a file/ folder you want to delete.

    • In that way, you can delete multiple files at once.
  2. Tap the trash bin icon at the top.

Create an ownCloud folder

  1. Open a chat.
  2. Tap the ownCloud icon beneath the box where you type your message.
  3. In the lower right corner, tap the plus icon and then New folder.
  4. Enter the name and tap the checkmark icon.

Upload a file to ownCloud

You can send files from a computer to ownCloud without leaving VNCtalk.

  1. Open a chat.
  2. Tap the ownCloud icon beneath the box where you type your message.
  3. In the lower right corner, tap the plus icon and then Upload file.
  4. Select a file from your device.

After that, you should see the notification stating File(s) has been uploaded.

Document collaboration

The VNCpad allows you to add one or more pads to write on, for example for notes during an online meeting and has a text editor with basic text formatting options like bold, italic, underlined, and strikethrough text, lists with numbers or bullet points and indent text. In addition, you can add a table for organizing information.

VNCpad also highlights every participant‘s contribution to the VNCpad in a different color and in real time. These colors can be removed when the document is finished.

Create a VNCpad in a chat

  1. Open a chat.
  2. Tap the VNCpad icon beneath the box where you type your message.
  3. Tap Create new pad.

    • Alternatively, you can tap the plus icon in the upper right corner.
  4. Enter the document name.

  5. Tap CREATE.

After you create a VNCpad, the following icon will appear in a chat, so all participants will be aware of a VNCpad creation.

Rename a VNCpad in a chat

  1. Open a chat.
  2. Tap the VNCpad icon beneath the box where you type your message.
  3. In the upper right corner, tap the kebab menu icon on a required VNCpad.
  4. Select Rename from the dropdown menu.
  5. Enter a required name.
  6. Tap UPDATE.

Delete a VNCpad in a chat

  1. Open a chat.
  2. Tap the VNCpad icon beneath the box where you type your message.
  3. In the upper right corner, tap the kebab menu icon on a required VNCpad.
  4. Select Delete from the dropdown menu.

Duplicate a VNCpad

This feature is under development.

In VNCtalk, you can use the search box at the top of the page to search for individual chats, messages, or group chats.

  1. In the Search Field at the top of the page, enter a search request.
  2. Press Enter.

Search results will be highlighted in yellow.
