Getting started

Install VNCcontacts Desktop Client

To install the VNCcontacts+ desktop client follow exactly the same procedure as that of installing the VNCtalk desktop client. Refer to the "VNClagoon Desktop Client Installation" section, for a step-by-step guide.

A quick overview of VNCcontacts+

VNCcontacts looks as follows:

Number Description
1 "Collapse Sidebar" button. The button allows to expand or contract the Sidebar
2 "New contact". It allows to create a contact and a contact group
3 "Contacts". The list contains your contacts, contact groups, groups of people you contact the most
4 "Lists". The list contains groups with contacts
5 "Tags". The list of tags you organize your contacts in contact group
6 "Actions". The list contains contains "Import", "Export", "Sync VNCmail Contacts", and "Undo Changes" options
7 "Saved Searches" list. The list contains saved search results in folders.
8 Filter. It allows to sort contacts.

Edit the profile information

You can update, add, and remove some basic information on your profile.

Your name and profile photo can be viewed by other people who use VNC products, including when you communicate or share content.

  1. Click the avatar photo at the top right and select Profile:

  2. The Profile modal window will open. Click the kebab menu icon and then Edit.

  3. Edit the fields and click Update at the bottom of the modal window.

Upload/ Re-upload/ Remove the profile photo

You can upload a photo to set as your VNCcontact+ profile picture.

  1. Click the avatar photo at the top right and select Profile.
  2. The Profile modal window will open. Click the kebab menu icon and then Edit.
  3. Click the profile photo icon.
  4. Click Upload, select a required photo/picture, and crop it.
  5. If you have selected the photo/picture, click Done.

    • If you want to select another photo/picture, click Re-upload.
    • If you want to remove the current profile photo/picture, click Remove.
  6. Click Update at the bottom of the modal window.

Set the language

You can set English or German for VNCcontacts+.

  1. Click the cogwheel icon at the top right and then select Settings:

  2. Select the language from the Language drop-down menu.

  3. Click Save.

Enable/disable 2 Factor Authentication

Two-factor authentication (2FA) allows you to add an extra level of security to your account. Besides using your login and password, enabling 2FA requires you to enter a one-time password code every time you log into your account. The code is automatically generated by an application on your phone.

  1. Download an authenticator application on your phone. We recommend Google Authenticator for Android and iOS users.
  2. Go to VNCcontact+.
  3. Click the cogweel icon at the top right.
  4. Click General Settings.
  5. Tick the Enable 2 factor Authentication checkbox.
  6. Scan the QR code with your authenticator application on your phone.
  7. Enter the six-digit code from the application.
  8. Click Save.

Disable 2 Factor Authentication

  1. Click the cogwheel icon at the top right and then select Settings:

  2. Uncheck Enable 2 Factor Authentication.

  3. Click Save.

Check VNCcontacts+ version

To check VNCcontacts+ version:

  1. Click the cogwheel icon at the top right.
  2. Navigate to Help > App Info.

Create an incident in VNC Service Desk

You can submit a support request at any time through VNC Service Desk. Adding a support request is a good option if:

  • You face any issues with your VNC Software
  • You want to report a bug
  • You have feature requests

To add a support request:

  1. Click the cogwheel icon at the top right.
  2. Navigate to Help > VNC service desk.
  3. Fill in the fields:

    The fields with the asterisk are required.

    • Subject: Enter an appropriate name of the issue.
    • Project: Select the project where an issue occurs.
    • Customer: Select the customer.
    • Product: Select the product where an incident occurs or the problem is discovered.
    • Version: Select the version number of the application.
    • Impact: Select the impact area.
    • Urgency: Select the urgency level.
    • Used hardware type: Select a hardware type where an issue occurs.
    • Operating system: Select the operating system where an issue occurs.
    • Browser: Select the browser where an issue occurs.
    • Description: Enter a detailed description of an issue or recommendation. In your support request, try to provide as much detail as possible about the issue or recommendation.
  4. If you want to attach some file/screenshot - click BROWSE.

  5. Click Create.

Access "Terms of use"

A Terms of Service agreement provide details about relationship between VNClagoon products and apps and users. It sets forth clauses that embody the rules, requirements, restrictions and limitations that a user must agree to in order to use the VNClagoon products and apps.

  1. Click the cogwheel icon at the top right.
  2. Navigate to Legal Notice > Terms of use.

Access "Data Privacy Policy"

Data Privacy Policy provides details about what type of information is collected and tracked on the website, how the information may be used, and with whom the information may be shared.

  1. Click the cogwheel icon at the top right.
  2. Navigate to Legal Notice > Data Privacy.

Access "User Manual"

If you need more information about VNCcontacts+ or need some instructions, you can access "VNCcontacts+ Web Client User Manual".

  1. Click the cogwheel icon at the top right.
  2. Navigate to Help > User Manual.

Log out

  1. Click the avatar photo at the top right.
  2. From the drop-down menu that opens, select Logout

Contacts

If you click a contact in VNCcontacts+ you should see the following, for example:

(1) Actions panel. The panel consists of buttons that launch some actions in a corresponding VNC product:

Button Action
Audio call Redirects to VNCtalk and starts an audio call with a contact.
Video call Redirects to VNCtalk and starts a video call with a contact.
Chat Redirects to VNCtalk and starts a chat with a contact.
Share screen Redirects to VNCtalk and starts to share your screen with a contact.
Email Redirects to VNCmail and opens a form to compose an email.
Event Redirects to VNCcalendar and opens a calendar.
Task Redirects to VNCtask and opens a form to create a task for a contact.
Ticket Redirects to VNCproject and opens a form to create a ticket.

If you initiate an audio call/video call/screenshare session/chat with a contact who does not have the subscription for VNCtalk, he/she will receive the invitation notification to his/her email address, registered in VNCcontacts+. The invitation notification contains the URL for the call. If a contact is registered without an email address in VNCcontacts+, you will not be able to use the actions panel - you should see the following warning:

Selected contact does not have an email address

If you compose an email for a contact who does not have the subscription for VNCmail, your email will be sent to the contact's email address, registered in VNCcontacts+. You can create an event only for a contact of your organization. And you can create a task and ticket for a contact only if he/she has the subscription for VNCtask and VNCproject. If the contact does not have the subscription for these VNC products, Task and Ticket buttons will not be visible in the contact's actions panel.

(2) Contact's information panel. The data accessible via these tabs depends on your role within your organization:

Tab Information
Contact Info Displays basic information with address, email, website, phone, time zone, language, skills and interests. All information in "Contact Info" tab is clickable. It means that you can compose an email if you click a user's email address and so on.
HR Data Displays different HR data, such as weekly working hours, private contact and address data, date of birth, payment mode and hourly rate. The data displayed under HR Data is imported from VNCdirectory.
Account details Displays identity management and access / permission management data, such as the role of a team member, account settings, assigned projects and further information. The information is managed in VNCdirectory.
Recent activity Displays your recent communication with a contact. This gives a great overview about your relationship with the contact, form of contact, sent messages, frequency.

(3) Recent activities panel. Tabs that contain the information about your recent activities in other VNC products:

Tab Description
All Contains your recent activities in VNCtalk, VNCmail, VNCtask, VNCproject.
Chats Contains your recent activities in VNCtalk.
Calls Contains your recent activities in VNCtalk.
Emails Contains your recent activities in VNCmail.
Tasks Contains your recent activities in VNCtask.
Tickets Contains your recent activities in VNCproject.
Incidents Contains your recent incidents in VNC Service Desk.

If you click any message in Chats tab, you will be redirected to this chat in VNCtalk.

Create a contact

  1. Click New contact and click Create contact.
  2. Enter the contact's name and add any contact information.

    • First name is required.
    • If you want to add several phone numbers or email addresses, click the plus icon .
  3. Click Create.

Access and view a contact

All contacts are stored in Contacts section:

  • The contacts, which are used more often than others, are located at the top of the contacts list and stored in the Frequently Contacted section.
  • The number , which you can see next to Contacts, displays the number of contacts in the section.

To access and view a contact information:

  1. Open VNCcontacts+.
  2. Under the Contacts section, click Contacts.
  3. Click a contact name to view their details , such as email address, phone number, or a profile name. From here, you can also also launch some actions in a corrensponding VNC product.

Edit a contact

Once you create a contact, you can make changes it.

  1. Under the Contacts section, click Contacts.
  2. Hover the pointer over the contact you want to edit and click the pencil icon on the right.

    • Another way is to click the contact's name. The Profile Information box will open. Click the the pencil icon at the top right to start making changes.
  3. Edit the information.

  4. Click Update.

Share a contact

  1. Under the Contacts section, click Contacts.
  2. Hover the pointer over the contact and click the the kebab menu icon on the right.
  3. Select the Share menu option that appears.

    • Another way is to click the contact's name. The Profile Information box will open. Click the the kebab menu icon at the top right and select Share menu option that appears.
  4. The Share contact(s) box will open. In the Email input field, enter the email address of the person you want to share the contact with.

  5. Click Share.

  1. Under the Contacts section, click Contacts.
  2. Hover the pointer over the contact and click the the kebab menu icon on the right.
  3. Select the Print menu option that appears:

Another way is to click the contact's name. The Profile Information box will open. Click the the kebab menu icon at the top right and select Print menu option that appears.

Export a contact

You can use your device to transfer contacts to another email account.

  1. Under the Contacts section, click Contacts.
  2. Select one of the following:

    • A single contact: Check the box next to the contact name.
    • Multiple contacts: Check the boxes next to all the contacts you want to export.
    • All contacts: In the top left, click Selection Actions and then All.
  3. Click the kebab menu at the top right.

  4. Select the Export menu option that appears.
  5. Contacts will be downloaded to your device as a CSV.

Import contacts

You can import contacts in 2 formats: CSV and vCard (also known as VCF).

  1. Under the Actions section, click Import.
  2. The Import contacts modal box will open.
  3. Click Select file.
  4. Select your file.
  5. Click Import.

Delete a contact

After you delete a contact, it is moved to Trash. You can delete a contact permanently or recover it from Trash.

  1. Under the Contacts section, click Contacts.
  2. Select one of the following:

    • A single contact: Check the box next to the contact name.
    • Multiple contacts: Check the boxes next to all the contacts you want to delete.
    • All contacts: In the top left, click Selection Actions and then All:

  3. Click the kebab menu at the top right.

  4. Select the Delete menu option that appears.
  5. Confirm that you want to delete the contact, click Delete in the modal window. You contacts will be move to Trash.

To delete contacts permanently:

  1. Under the Contacts section, click Trash.
  2. Select the contact you want to delete permanently.
  3. Click the contact and then Remove permanently.

Recover a deleted contact

You can recover a deleted contact from Trash.

  1. Under the Contacts section, click Trash.
  2. Select one of the following:

    • A single contact: Check the box next to the contact name.
    • Multiple contacts: Check the boxes next to all the contacts you want to recover.
    • All contacts: In the top left, click Selection Actions and then All:

  3. At the top, click Recover.

Make a video or an audio call to a contact

With VNCcontacts+, you can initiate a video or an audio call to any contact via VNCtalk.

  1. Under the Contacts section, click Contacts.
  2. Click the contact's name you want to start an audio or video session with. The Profile Information box will open.
  3. On the actions panel, click Audio call or Video call. You should be redirected to VNCtalk.
  4. Also you can make an audio call with a user by clicking Contact Info > the user's smartphone number.

Chat with a contact

With VNCcontacts+, you can send a chat message to any contact via VNCtalk.

  1. Under the Contacts section, click Contacts.
  2. Click the contact's name you want to send a chat message. The Profile Information box will open.
  3. On the actions panel, click Chat. You should be redirected to VNCtalk.

Share a screen with a contact

  1. Under the Contacts section, click Contacts.
  2. Click the contact's name you want to start a screensharing session with. The Profile Information box will open.
  3. On the actions panel, click Share screen. You should be redirected to VNCtalk.

Compose an email for a contact

With VNCcontacts+, you can compose an email and send it to any contact via VNCmail.

  1. Under the Contacts section, click Contacts.
  2. Click the contact's name you want to compose an email for. The Profile Information box will open.
  3. On the actions panel, click Email. You should be redirected to VNCmail.
  4. Another way is to click the user's email address:

Create an event for a contact

  1. Under the Contacts section, click Contacts.
  2. Click the contact's name you want to create an event for. The Profile Information box will open.
  3. On the actions panel, click Event. You should be redirected to VNCcalendar.

Create a task for a contact

You can create a task for a contact only if this contact has the subscription for VNCtask.

With VNCcontacts+, you can create tasks for any contact via VNCtask.

  1. Under the Contacts section, click Contacts.
  2. Click the contact's name you want to create a task for. The Profile Information box will open.
  3. On the actions panel, click Task. You should be redirected to VNCtask.

Create a ticket for a contact

You can create a ticket for a contact only if this contact has the subscription for VNCproject.

With VNCcontacts+, you can create tickets for any contact via VNCproject.

  1. Under the Contacts section, click Contacts.
  2. Click the contact's name you want to create a ticket for. The Profile Information box will open.
  3. On the actions panel, click Ticket. You should be redirected to VNCproject.

Undo changes to contacts

You can undo all the changes you made to your contacts in the past 30 days.

Contacts removed permanently from your Trash cannot be recovered.

  1. Under the Actions section, click Undo changes.
  2. The Undo changes modal box will open. Choose a time to go back to.

    • If you select Custom, you should enter a specific time period to which you want roll back the contacts list (Days, Hours, Minutes fields).
  3. Once done, click Confirm.

Star/unstar a contact

The starred contact feature allows you to bookmark specific contacts so you can quickly refer back to them later.

  1. Under the Contacts section, click Contacts.
  2. Click the contact's name you want to mark as favorite. The Profile Information box will open.
  3. Click the star icon on the profile image/ picture and it will turn yellow, confirming that you've starred a contact.

Another way is to hover the pointer over the contact and click the star icon on the right.

Merge the contacts

If you have several contacts with the same email address, you can merge them into 1 contact to avoid double entries.

  1. Under the Contacts section, click Duplicates.
  2. Select one of the following:

    • Merge, if you want to accept one or more duplicate contact suggestions.
    • Merge All at the top, if you want to accept all duplicate contact suggestions.

If you want to choose which contacts to merge:

  1. Under the Contacts section, click Contacts.
  2. Hover the pointer over each contact you want to merge. Then, check the box.
  3. At the top, click .

To separate merged contacts, see the "Undo changes to contacts" section.

Synchronize contacts with VNCmail contacts

You can import all current contacts from VNCmail to VNCcontacts+.

  1. Under the Actions section, click Sync VNCmail Contacts.
  2. Confirm that you want to synchronize the contacts, click Import in the modal window.

Contact Groups

"Contact Group" is an option to collect contacts in a group to perform bulk options, such as:

  • start group calls;
  • send bulk emails;
  • start video/audio calls;
  • start chats;
  • start screen share sessions;
  • add events to VNCcalendar.

All contact groups are stored in the Contact Group section.

To access and view a contact group information:

  1. Under the Contacts section, click Contact Group.
  2. Click a contact group's name to view the contact group's information.
  3. From here, you can also also launch some actions in a corrensponding VNC product.

Create a contact group

  1. Click New contact and click Create Contact Group.
  2. Enter the contact group name to the Contacts group name field.
  3. Search for and click the contacts you want to add to the contact group.
  4. Click Save.

Edit a contact group

Once you create a contact group, you can change a contact group avatar, give it a new name as well as add new participants to the contact group or delete current ones.

  1. At the left under the Contacts section, click Contact group.
  2. Click the contact group.
  3. Click the pencil icon at the top right.

    • Another way to start making changes is to hover the pointer over the contact group you want to edit and click the pencil icon on the right .
  4. If you need to remove a contact from the contact group, click the cross icon.

  5. If you need to add a contact to the contact group, just click the contact.
  6. Click Save.

Upload a contact group photo

  1. Under the Contacts section, click Contact group.
  2. Click the contact group where you want to set a contact group photo.
  3. Click the pencil icon at the top right.
  4. Click the photo icon.
  5. Click Upload and select a required photo/picture.
  6. Once the photo/picture is selected and resized, click Done.

    • If you want to select another photo/picture, click Re-upload.
    • If you want to remove the current profile photo/picture, click Remove.
  7. Click Save.

Share a contact group

Delete a contact group

After you delete a contact group, you will not be able to restore it.

  1. Under the Contacts section, click Contact group.
  2. Select one of the following:

    • A single contact group: Check the box next to the contact name.
    • Multiple contact groups: Check the boxes next to all the contacts you want to delete.
    • All contact groups: In the top left, click Selection Actions and then All:

  3. Click the kebab menu at the top right.

  4. Select Delete.
  5. Confirm that you want to delete the contact group, click Delete in the modal window.

Make a video or an audio call to a contact group users

With VNCcontacts+, you can initiate a video or an audio call to a contact group users via VNCtalk.

  1. Under the Contacts section, click Contact group.
  2. Click the contact group the participants of which you want to start an audio or video session with. The Contact Group Information box will open.
  3. On the actions panel, click Audio call or Video call. You should be redirected to VNCtalk.

Chat with a contact group users

With VNCcontacts+, you can send a chat message to a contact group users via VNCtalk.

  1. Under the Contacts section, click Contact group.
  2. Click the contact group the participants of which you want to start a chat with.
  3. On the actions panel, click Chat. You should be redirected to VNCtalk.

Share a screen with a contact group users

  1. Under the Contacts section, click Contact group.
  2. Click the contact group the participants of which you want to start a screensharing session with.
  3. On the actions panel, click Share screen. You should be redirected to VNCtalk.

Compose an email for a contact group users

With VNCcontacts+, you can compose an email and send it to a contact group users via VNCmail.

  1. Under the Contacts section, click Contact group.
  2. Click the contact group the participants of which you want to compose an email for.
  3. On the actions panel, click Email. You should be redirected to VNCmail.

Create an event for a contact group users

  1. Under the Contacts section, click Contact group.
  2. Click the contact group the participants of which you want to create an event for.
  3. On the actions panel, click Event. You should be redirected to VNCcalendar.

Contact Lists

"Contact List" is an option for each user to create lists according to individual requirements, for example for marketing purposes.

  • All contact lists are stored in the Lists section .
  • The numbers , which you can see next to a contact list, displays the number of contacts in the contact list.

Create a contact list

  1. Click the plus icon next to Lists.
  2. Enter a list name to the field.
  3. If you want, you can select a color for a list.
  4. Click CREATE.

You can check the created list in the Lists section

Add a contact to a contact list

  1. Under the Lists section, click the created list.
  2. Click New contact > Create Contact
  3. Fill in the fields.

    • First name is required.
    • If you want to add several phone numbers or email addresses, click the plus icon .
  4. Click Create.

Delete a contact from a contact list

After you delete a contact, it is moved to Trash. You can delete a contact permanently or recover it from Trash.

  1. Under the Lists section, click a required list.
  2. Select one of the following:

    • A single contact: Check the box next to the contact name.
    • Multiple contacts: Check the boxes next to all the contacts you want to delete.
    • All contacts: In the top left, click Selection Actions and then All:

  3. Click the kebab menu icon at the top right.

  4. Select the Delete menu option that appears.
  5. Confirm that you want to delete the contact, click Delete in the modal window. You contacts will be move to Trash.

To delete contacts permanently:

  1. Under the Contacts section, click Trash.
  2. Select the contact you want to delete permanently.
  3. Click the contact and then Remove permanently.

Recover a deleted contact from a contact list

You can recover a deleted contact from Trash. Refer to the "Recover a deleted contact" section, for a step-by-step guide.

Rename a contact list

  1. Under the Lists section, hover the pointer over a list and click the kebab menu next to the list.
  2. Select Rename.
  3. Edit the list name.
  4. Change the color as needed.
  5. Click UPDATE.

Export a contact list

You can export a contact list in 3 formats: CSV, XLS, and vCard (also known as VCF).

  1. Under the Actions section, click Export.
  2. Select a required contact list from the drop-down menu and select required file format.
  3. Click Export.

Delete a contact list

After you delete a contact list, you will not be able to restore it.

  1. Under the Lists section, hover the pointer over a list and click the kebab menu next to the list.
  2. Select Delete.
  3. Confirm that you want to delete the list, click Delete in the modal window.

Tags

Tags allow you to organize contacts into different groups based on their relationship with you. For example, some contacts may be your friends/family whereas others may be your customers.

All tags are stored in the Tags section :

  • The number , which you can see next to the tag's name, displays the number of contacts under that tag.
  • By clicking a tag's name, you can view contacts associated with a tag .

Create a new tag

When you create a new tag for an individual contact it becomes a tag option for all of your contacts.

  1. At the left under the Contacts section, click Contacts.
  2. Select one of the following:

    • Multiple contacts: Check the boxes next to all the contacts you want to add.
    • All contacts: Check the box next to any contact and in the top left, click Selection Actions and then All.
  3. At the top, click the tag icon .

  4. Click ** + New tag**.
  5. Type a name, then click Create.

Apply a tag

If you've already created tags for one contact, you can add them to other contacts.

  1. At the left under the Contacts section, click Contacts.
  2. Select one of the following:

    • Multiple contacts: Check the boxes next to all the contacts you want to add.
    • All contacts: Check the box next to any contact and in the top left, click Selection Actions and then All.
  3. At the top, click the tag icon .

  4. Click the tag you want.
  5. Click Apply.

Remove a tag from a contact

Remove a tag from your contact doesn't completely remove the tag from your account.

  1. At the left, under the Contacts section, click Contacts.
  2. Find the contact you want to edit and click the contact's name.
  3. The Profile Information box will open. Click the pencil icon at the top right to start making changes.
  4. Scroll down to the Tags field, then click the cross icon on the tag you want to delete.
  5. Click Update.

Advanced Search is a powerful search service inside VNCcontacts+ App that allows to apply many different filters. Advanced Search suggests the following filters:

  1. First name - is the search for contacts by the first name.
  2. Last name - is the search for contacts by the last name.
  3. Middle name - is the search for contacts by the middle name.
  4. Updated - is the search for contacts that were updated in a certain period of time.
  5. Deleted - is the search for contacts that were deleted.
  6. Deleted on - is the search for contacts that were deleted in a certain period of time.
  7. All - is the search for contacts by all the words you enter.
  8. In my department - is the search for contacts in your department.
  9. Contact list - is the search for contacts in existing contact lists.
  10. Contact group - is the search for contacts in existing contact groups.
  11. Tags - is the search for contacts by tags.
  12. Contact ID - is the search for contacts by Indentification Numbers.
  13. JID -
  14. Related user's City - is the search for contacts by cities.
  15. Country - is the search for contacts by countries.
  16. Related user's Gender - is the search for contacts by genders.

To use "Advanced Search":

  1. To the right of the search bar, click the filter icon . Advanced search page will open.
  2. Click Add filter at the bottom.
  3. Select a required filter.

    • You can add several filters, just click Add filter again and select required filter(s).
  4. If you need to remove the filters, uncheck the box next to the filter you want to remove or click Reset fields.

  5. On the bottom, click Search.

Save found results as a template

If you want to save the search result:

  1. Click Save search.
  2. Fill in the Name field and then click Save.
  3. You can check the saved search result in the Saved searches section.
