Getting started

Install VNCcalendar Desktop Client

To install the VNCcalendar desktop client follow exactly the same procedure as that of installing the VNCtalk desktop client. Refer to the "VNClagoon Desktop Client Installation" section, for a step-by-step guide.

Log in

To log in, enter your credentials to the fields and click LOGIN:

Customize the general settings

  1. Click the cogwheel icon:

  2. Navigate to Preferences -> Main Preferences:

  3. Select required timezone from Timezone drop-down menu.

  4. Select required calendar type of view from Default View drop-down menu:

    • Day View - if you want the calendar to display today;
    • Work Week View - if you want the calendar to display only a work week;
    • 7 Day Week View - if you want the calendar to display 7 days of a week;
    • Month View - if you want the calendar to display all days of the a month;
    • List View - if you want the calendar to display the list with appointments.
  5. Select the week start day from Start week on drop-down menu.

  6. Select required type of an appointment visibility from Default appointment visibility drop-down menu.
  7. If you want this mini-calendar to be visible on the main page, tick Always show the mini-calendar:

  8. If you want a calendar to display weeks with numbers, tick Show Calendars with week numbers.

  9. If you want received appointments to be added to a calendar automatically, tick Automatically add received appointments to calendar.
  10. If you want to see declined meetings in a calendar, tick Show declined meetings.
  11. If you want the invitations to be deleted on reply, tick Delete invite on reply.
  12. If you want your invites to be forwarded to some user, enter the user's email address to Forward Invites field.
  13. Customize the reminder time from Show reminders drop-down menu.
  14. If you want to see a reminder for past-due meetings, tick Show reminders for past-due meetings.
  15. If you want a reminder to have a sound, tick Play a sound.
  16. If you want a browser title to get flashed, tick Flash the browser title.
  17. If you want to see a pop-up notification with the reminder, tick Show a popup notification.
  18. Customize an appointment duration from Default Appointment Duration drop-down menu.
  19. Save the changes, click SAVE.

Change the profile photo

  1. Click the profile icon:

  2. Click Profile:

  3. Click the camera icon:

  4. Click UPLOAD and select required photo/picture.

  5. Click Save.

Change the password

  1. Click the profile icon:

  2. Click Change password:

  3. Fill in the fields, then click CHANGE.

Log out

  1. Click the profile icon:

  2. Click Logout:

Change the theme

There are 2 themes in VNCcalendar:

  • "Blue Ocean";
  • "Nature Green".

There are 2 ways to change the theme:

  • using Appearance option;
  • using General settings option.

Way 1 - using "Appearance" option:

  1. Click the cogwheel icon:

  2. Click Appearance:

  3. Select required theme and click the checkmark.

Way 2 - using "General settings" option:

  1. Click the cogwheel icon:

  2. Navigate to Settings -> General settings:

  3. Select required theme from Theme drop-down menu and click the checkmark:

Change the language

It is possible to set 2 languages: English and German.

  1. Click the cogwheel icon:

  2. Navigate to Settings -> General settings:

  3. Select required language from Language drop-down menu and click the checkmark:

Check the application version

  1. Click the cogwheel icon:

  2. Navigate to Help -> App Info:

Customize a work week and hours

  1. Click the cogwheel icon:

  2. Navigate to Preferences -> Work Week and Hours:

  3. If your work hours are the same every day, tick your working days in Work week block and click SAVE. If you need to customize your working hours for each day, select Custom and click CUSTOMIZE:

  4. Customize the working hours for each day and click SAVE. Then click SAVE.

Enable/disable Apple iCal

  1. Click the cogwheel icon:

  2. Navigate to Preferences -> Apple iCal:

  3. Tick/untick Enable delegation for Apple iCal CalDAV client and click SAVE.

Customize the calendar view

The calendar has 5 types of view: day view, week view, work week view, month view, and list view.

To customize the calendar view, just select required type of view from the following drop-down menu:

Customize the permissions

Users, for whom you want to customize the permissions, should be present in this mail system. You can use a full email address or just a username.

  1. Click the cogwheel icon:

  2. Navigate to Preferences -> Permissions:

  3. Select required option(s) in Free / Busy block. If you select Allow only the following internal user to see my free/busy information option, you should enter a user's email address to the field below. If you want to add several email addresses, start typing a user's email address or username and click on them.

  4. Select required option(s) in Invites block. If you select Allow only the following internal user to invite me to meetings, you should enter a user's email address to the field below. If you want to add several email addresses, start typing a user's email address or username and click on them.
  5. Click SAVE.

Customize the appointments settings

  1. Click the cogwheel icon:

  2. Navigate to Preferences -> Creating Appointments:

  3. If you want to have a possibility to create a new appointment by clicking required date, select Use the Quick Add dialog when creating new appointments. It means that if you open a calendar and click any date, you should see the following dialog:

    If you want the time zone to be displayed while creating an appointment, select Show time zone for the start and end time when creating an appointment.

  4. Click SAVE.

Create a calendar

  1. Click the kebab menu next to Calendars:

  2. Click New Calendar:

  3. Enter the calendar name in the field. if you want you can select a color for the calendar - just click required color.

  4. "Exclude this calendar when reporting free/busy times".
  5. Click CREATE. The created calendar appears in the Calendars list:

Share a calendar

  1. Hold the pointer over required calendar and right-click.
  2. Click Share Calendar:

  3. Select required option in Share with block:

    • External guests (view only) - if you select this option, you should enter an external user's email address in Add Email field;
    • Other users of VNCuxf Mail - if you select this option, you should enter a user's email address in Add Email field too. Also you should select required right(s) for users in Role block.
    • If you want the users to see your private appointments, tick Allow user(s) to see my private appointments.
    • Select required option from Message drop-down menu:

    • Do not send mail about this share - if you do not want the users to get the notification message when you share a calendar with them;

    • Send standard message - if you want the users to get the notification message when you share a calendar with them;
    • Add note to standard message - if you want to add a note to the notification message. If you select this option, you should fill in the appeared Message field.
  4. Click the checkmark at the bottom.

Edit a calendar information

  1. Hold the pointer over required calendar and right-click.
  2. Click Edit Properties:

  3. Edit the calendar information. If you need to share the calendar, click ADD SHARE and follow the steps from "Share a calendar" subsection.

  4. To save the changes, click the checkmark at the bottom.

Delete a calendar

  1. Hold the pointer over required calendar and right-click.
  2. Click Delete:

  3. Confirm that you want to delete the calendar, click DELETE in the modal window. The deleted calendar is moved to "Trash".

  4. If you want to delete the calendar permanently, hold the pointer over the calendar and right-click.
  5. Click Delete:

  6. Confirm that you want to delete the calendar permanently, click DELETE in the modal window.

Open a calendar in a separate window

  1. Hold the pointer over required calendar and right-click.
  2. Click Open in a separate window:

    The open calendar looks as follows:

Move a calendar to another calendar

  1. Hold the pointer over required calendar and right-click.
  2. Click Move:

  3. Select required calendar from the list or use the search field.

  4. To move the calendar to the selected calendar, click MOVE:

Empty "Trash" folder

  1. Hold the pointer over Trash and right-click.
  2. Click Empty Trash:

  3. Confirm that you want to delete everything from "Trash" folder, click OK in the modal window.

  1. Click the printer icon:

  2. Customize the settings for printing and click Print.

Appointment

Create an appointment

  1. Click New appointment:

  2. Enter an appointment name in the field.

  3. Select the appointment start date from Appointment starts and select the end date from Appointment ends. If the appointment is going to last the whole day, tick All day.
  4. If it is a recurring appointment, for example you need to have this appointment every day, you can select Every day option from Repeat drop-down menu. So, you do not need to create the same appointment every day.
  5. Select when you should be notified about the appointment from Notify drop-down menu.
  6. Each option in Project drop-down menu has it's own color. The color is the appointment marker on the calendar. It helps to differ appointments. Select required option Project drop-down menu.
  7. Select a calendar, in which you want to create the appointment, from the calendar drop-down menu.
  8. If you want the appointment to be private, tick Private checkbox.
  9. To add participants, click the plus icon next to Attendees and Optional attendees fields.
  10. To attach files, click Upload.
  11. Add the appointment description in Description field. If you need to check the spelling, click the icon with A letter.
  12. Save the changes, click SAVE.

Edit an appointment information

  1. Double click required appointment. Or right click required appointment and click Open:

  2. Edit the appointment information and click SAVE.

Create an appointment copy

  1. Right click required appointment and click Create a Copy:

  2. Edit the appointment information and click SAVE.

Forward an appointment

  1. Right click required appointment and click Forward:

  2. To select, whom to forward the appointment to, click the plus icon next to To field.

  3. Click SEND.

Delete an appointment

  1. Right click required appointment and click Delete:

  2. Confirm that you want to delete the appointment - click DELETE in the modal window.

Move an appointment to another calendar

  1. Right click required appointment and click Move:

  2. Select required calendar and click MOVE:

Re-invite attendees to an appointment

To re-invite attendees to an appointment, just right click required appointment and click Re-invite Attendees:
