VNCproject Meta Roadmap Feature

The META ROADMAP feature within VNCproject allows team members and management to get the big picture on the current state of the project that helps assess and organize the work to be executed by the team.

  • Roadmap in VNCproject is a team-level roadmap useful for planning large pieces of work several months in advance within a single project. Simple planning and dependency management features help your teams visualize and manage work better together.
  • Meta tasks are a high-level description of what you want to achieve, but not the detailed planning itself which is done in a given target version or one or more tickets.
  • Tickets are steps required to achieve the goal. They can be added directly from the roadmap and are nested within the meta task they belong to.

Workflow and usage

Create a new meta roadmap

There are two ways to create a meta roadmap.

Way 1. Using the main menu bar.

  1. In the main menu bar, click Meta Roadmap.
  2. Click the NEW META ROADMAP button. The New meta roadmap dialog box will open.
  3. Enter a Roadmap name and description.
  4. Under the Column settings section, select the columns you want to have displayed in your meta roadmap by ticking the box next to the respective item. Holding down the left mouse button on the icon allows you to arrange the item as you please.
  5. Click CREATE.

Way 1. Using the plus icon on the Agile Board.

  1. Navigate to My page > Agile board.
  2. On the bottom, click the plus icon and then New meta roadmap. The New meta roadmap dialog box will open.
  3. Enter a Roadmap name and description.
  4. Under the Column settings section, select the columns you want to have displayed in your meta roadmap by ticking the box next to the respective item. Holding down the left mouse button on the icon allows you to arrange the item as you please.
  5. Click CREATE.

Meta roadmaps overview

In the main menu bar, click Meta Roadmaps to see the list of existing meta roadmaps. From here, you can find a required meta roadmap, filter search results, change the view of meta roadmaps, and add or rearrange the columns that will be displayed in your meta roadmap.

  1. Filters. You can sort existing meta roadmaps by status, name, description, and date when the meta roadmap was created or updated.
  2. Display of meta roadmaps. Meta roadmaps can be displayed in two ways - two-column layout or multi-column layout . Click the respective icon to change the view of roadmaps.
  3. Columns. The columns property specifies which columns you would like the meta roadmap to divide into.
  4. Operations menu. Click the kebab menu icon to open the list of the available Roadmap Operations you can perform.

Filter roadmaps

You can narrow your search results to find exactly what you want:

  1. Click Filters and then + Add Filter.
  2. From the drop-down menu, select the criteria you want to sort your meta roadmaps by:

    • Status
    • Name
    • Description
    • Author
    • Date when the roadmap was created
    • Date when the roadmap was updated
  3. Once done, click Apply.

Change display of meta roadmaps

Meta roadmaps can be displayed in two ways - Two-column layout or a Multi-column layout. Click or to change to the view you want to see.

Add columns to meta roadmaps

You can add and rearrange the columns that will be displayed in your meta roadmap.

  1. Click the following icon .
  2. Switch on or off toggle next to the name of the column that you would like to display in the meta roadmap:

    • Status - Switch on if you want to see the meta roadmap's status - closed or active.
    • Author - Switch on if you want to see the meta roadmap's owner.
    • Updated - Switch on if you want to see the date when the meta roadmap was edited last time.
    • Created - Switch on if you want to see the date when the meta roadmap was created.
    • # - Switch on if you want to see the Meta Roadmap DB ID column.
  3. Click Apply.

Once the new meta roadmap has been created or you open an existing one by clicking on it on the overview screen, the respective meta-roadmap opens, displaying the information, illustrated here:

The top section of your roadmap shows the following information:

  1. Name. Displays the title of the meta roadmap.
  2. Author. Displays the username who created the meta roadmap.
  3. Description. Displays the meta roadmap's description.
  4. Project. Displays the number of projects and shows statistics for issues created for projects.
  5. Version. Displays the number of versions and shows statistics for issues assigned to the versions.
  6. Tickets. Displays the number of tickets attached to the meta task and shows statistics for them.
  7. Time tracking report. Shows overall time tracking information on issues for all versions of all projects.

Filters and view settings

Meta roadmap has built-in filters that make viewing and managing work simple.

  • You can sort meta tasks by completion percentage, priority, status, type, title, scope, mockups URL, next action, comment, task owner, and due date. You can also group results by type, status, priority, task owner, start date, due date, and completion percentage.

  • Choose whether to hide or expand the description that the meta tasks contain.

  • Specify which columns you would like the task to divide into.

In order to see what operations you can perform on a roadmap, you own or have the proper rights for, go back to the overview screen.

Meta tasks and tickets

A meta task is a large body of work that can be broken down into tickets. Tickets can be nested within the meta task they belong to. The most common tickets are incidents, tasks, and bugs.

Roadmap Operations

Edit a meta roadmap

There are 2 ways to edit a meta roadmap:

Way 1. Through Meta Roadmap Overview.

  1. Click Meta roadmaps from VNCproject's main menu bar.
  2. Apply filters to search for a required meta roadmap.
  3. Click the kebab menu next to the meta roadmap and click Edit meta roadmap.
  4. Edit the data and click UPDATE.

Way 2. Use the plus icon.

  1. Open the meta roadmap you want to edit.
  2. Click the plus icon at the bottom right.
  3. Select Edit.
  4. Edit the data and click UPDATE.

Rename a roadmap

If you want to rename a roadmap in one click:

  1. Open the meta roadmap you want to edit.
  2. Hover the pointer over the roadmap name and click the pencil icon that appears.
  3. Edit the data and click . If you don’t want to save changes, click and the meta roadmap will be left as is.

Edit a roadmap description

You can change a roadmap description in one click.

  1. Open the meta roadmap you want to edit.
  2. Hover the pointer over the roadmap description and click the pencil icon that appears.
  3. Edit the data and click . If you don’t want to save changes, click and the meta roadmap will be left as is.

Delete a meta roadmap

After you delete a Meta roadmap, you will not be able to restore it.

There are 2 ways to delete a meta roadmap:

Way 1. Through Meta Roadmap Overview.

  1. Click Meta roadmaps from the VNCproject's main menu bar.
  2. Apply filters to search for a required meta roadmap.
  3. Click the kebab menu next to the meta roadmap and click Delete.
  4. Confirm that you want to delete the meta roadmap, click YES in the modal window.

Way 2. Use the plus icon.

  1. Open the meta roadmap you want to delete.
  2. Click the plus icon at the bottom right.
  3. Select Delete.
  4. Confirm that you want to delete the meta roadmap, click YES in the modal window.

Close a meta roadmap

There are 2 ways to close a meta roadmap:

Way 1. Through Meta Roadmap Overview.

  1. Click Meta roadmaps from the VNCproject's main menu bar.
  2. Apply filters to search for a required meta roadmap.
  3. Click the kebab menu next to the meta roadmap and click Close.
  4. Confirm that you want to close the meta roadmap, click YES in the modal window. To stop the closing process click CANCEL.

Way 2. Use the plus icon.

  1. Open the meta roadmap you want to close.
  2. Click the plus icon at the bottom right.
  3. Select Close.
  4. Confirm that you want to close the meta roadmap, click YES in the modal window. To stop the closing process click CANCEL.

Archive a meta roadmap

The Archive operation will hide the meta roadmap from the active display and will move it to the list of archived roadmaps.

There are 2 ways to archive a meta roadmap:

Way 1. Through Meta Roadmap Overview.

  1. Click Meta roadmaps from the VNCproject's main menu bar.
  2. Apply filters to search for a required meta roadmap.
  3. Click the kebab menu next to the meta roadmap and click Archive.
  4. Confirm that you want to archive the meta roadmap, click YES in the modal window. To stop the archiving process and keep the roadmap active click CANCEL.

Way 2. Use the plus icon.

  1. Open the meta roadmap you want to archive.
  2. Click the plus icon at the bottom right.
  3. Select Archive.
  4. Confirm that you want to archive the meta roadmap, click YES in the modal window. To stop the archiving process and keep the roadmap active click CANCEL.

View archived roadmaps

  1. Click Meta roadmaps from the VNCproject's main menu bar.
  2. Use the filter to view archived roadmaps. For this click Filters > Add filter.
  3. Select Status.
  4. Select is from the drop-down menu.
  5. Click the plus icon and select archived.
  6. Click Apply.

Clone a meta roadmap

If you ever need to create a duplicate of a roadmap, there’s no need to do everything manually.

In the cloning process, the following information from the original roadmap is automatically cloned:

  • Roadmap name
  • Roadmap description

There are 3 ways to clone a roadmap:

Way 1. Through Meta Roadmap Overview.

  1. Click Meta roadmaps from the VNCproject's main menu bar.
  2. Apply filters to search for a required meta roadmap.
  3. Click the kebab menu next to the meta roadmap and click Clone.
  4. Edit information if required and click CREATE.

Way 2. Use the plus icon.

  1. Open the meta roadmap you want to clone.
  2. Click the plus icon at the bottom right.
  3. Select Clone.
  4. Edit information if required and click CREATE.

Way 3. Use the "Clone" button.

  1. Open the meta roadmap you want to clone.
  2. Click the Clone button.
  3. Edit information if required and click CREATE.

  • Keep in mind that the prefix Copy is automatically added to the Name of a cloned topic. You can remove the Copy prefix while editing a meta roadmap.
  • All cloned meta roadmaps are stored in the meta roadmap's list.

Share a meta roadmap

In case you have the proper rights to the roadmap provided by the owner or you are the owner, you have also the option to Share the meta-roadmap. You can control whether users can edit, comment on, or only view the file.

There are two ways to share a meta roadmap:

Way 1. Use the plus icon.

  1. Open the meta roadmap you want to share.
  2. Click the plus icon at the bottom right.
  3. Select Share. You should see the Sharing menu.
  4. In the Search user input field, enter the username you want to share.
  5. To change what the user can do to the meta roadmap, on the right, click the down arrow and then can view, can comment, can edit.
  6. Once selected the respective right you wish to grant, click the SHARE button.

  • Now the user (column1) and the given right (column2) will be displayed in the Share table of this meta roadmap.
  • The added user will be informed via eMail that he now has access to this meta-roadmap and the respective roadmap will be displayed in the remote user's overview list.
  • To withdraw the share and granted right from a user again, click on the trash bin icon (column3) for that user in the Share table.
  • To close the Share Interface, click on CANCEL.

Way 2. Use the "Share" button.

  1. Open the meta roadmap you want to share.
  2. Click the Share button. You should see the Sharing menu.
  3. In the Search user input field, enter the username you want to share with.
  4. To change what the user can do to the meta roadmap, on the right, click the down arrow and then can view, can comment, can edit.
  5. Once selected the respective right you wish to grant, click the SHARE button.

Meta Tasks

Add meta tasks to a meta roadmap

You can create and add Meta tasks to an existing roadmap:

  1. Open a meta roadmap to which you'd like to add a new meta task.
  2. Click the plus icon and select Add meta task.
  3. In the modal box that opens, fill in the respective information needed in order to create and add a new meta task to the roadmap:

    • Meta task subject: The title of the new meta task.
    • Scope/ Comment: Enter the task description or create a comment.
    • Status: Choose the status of the meta task from the dropdown list.
    • Type: Choose the type of the meta task from the dropdown list.
    • Priority: Choose the priority of the meta task from the drop-down list.
    • Start date: Enter a start date for the new task.
    • Due date: Enter the due date for the new task.
    • Subproject of: If you desire to add this task as a subproject to an existing project, enter the ID of the respective project.
  4. Add attachments by pulling them via drag and drop to the respective input field or click the Browse button to open your file browser dialogue to select the file(s) to attach.

  5. Click CREATE.

Once done, your new meta-task will be displayed in the meta roadmap.

Edit a meta task

  1. Open a meta roadmap to which you'd like to edit a meta task.
  2. Apply filters to search for a required meta task.
  3. Choose whether to hide or expand the description that the tasks contain by clicking .
  4. Click the kebab menu icon and select Edit meta task.
  5. Edit the data and click Save.

You can change only one attribute in the meta task (such as Status, Start/ Due Date, Priority, Task Owner). To change only one attribute in all the selected issues, just click it and select a required option from the drop-down menu. The change will take effect immediately.

  1. Open a required meta roadmap.
  2. Apply filters to search for a required meta task.
  3. Choose whether to hide or expand the description that the tasks contain by clicking .
  4. Click the kebab menu icon and select Add related project.
  5. Start entering your query in the Search field or filter your results by the date when the project was created.
  6. Results will appear on the left. Select a required one and click it. You should see the project data on the right.
  7. On the bottom, click Add.

Add target version

  1. Open a required meta roadmap.
  2. Apply filters to search for a required meta task.
  3. Choose whether to hide or expand the description that the tasks contain by clicking .
  4. Click the kebab menu icon and select Add target version. The Add target version modal window will open.
  5. Start entering your query in the Search field or filter your results by Project or the date when the ticket was created.
  6. Results will appear on the left. Select a required one and click it. You should see the target version data on the right.
  7. On the bottom, click Add.

  1. Open a required meta roadmap.
  2. Apply filters to search for a required meta task.
  3. Choose whether to hide or expand the description that the tasks contain by clicking .
  4. Click the kebab menu icon and select Add related ticket. The Add related ticket modal window will open.
  5. Start entering your query in the Search field or filter your results by Project, Author, Assignee, or the date when the ticket was created.
  6. Results will appear on the left. Select a required one and click it. You should see the ticket data on the right.
  7. On the bottom, click Add.

Change a roadmap

  1. Open a required meta roadmap.
  2. Apply filters to search for a required meta task.
  3. Choose whether to hide or expand the description that the tasks contain by clicking .
  4. Click the kebab menu icon and select Change roadmap.
  5. Select a roadmap to which you want to attach a meta task.
  6. Click Save.

Delete a meta task

  1. Open a meta roadmap to which you'd like to delete a meta task.
  2. Apply filters to search for a required meta task.
  3. Choose whether to hide or expand the description that the tasks contain by clicking .
  4. Click the kebab menu icon and select Delete meta task.
  5. Confirm that you want to delete the meta roadmap, click YES in the modal window.

Add a comment to a meta task

You can add comments to a Mets task if you want to provide additional information or offer insight.

  • A task's comments will appear at the bottom of the left pane.
  • Anyone with access to a task will see its comments.
  • Several comments can be added to a task.

To add a comment to a task, follow these steps:

  1. Click the pencil icon next to the meta task you want to comment on.
  2. Enter your comment.
  3. Select Save.

You can also comment on tickets related to the meta task. Adding a comment to a ticket is the same.

To edit or delete the comment you've added, click it and change the text or remove it. Once done, click Save.

Go to Agile board

  1. Hover the pointer over a required meta task and click the following icon appears in the upper-right corner.
  2. You'll be redirected to the Agile board where all the tasks from all projects will be displayed.

Go to a task detail page

  1. Hover the pointer over the title of the task. The tooltip will appear.
  2. Click the following icon in the upper-right corner.
  3. You will be redirected to the task detail page.
