Getting started¶
A quick overview of VNCcommander¶
VNCcommander looks as follows:
Number | Description |

1 | The "Create new" button allows to create a message, email, contact or contact group, event, task, ticket, and incident. |
2 | The "Change sidebar width" button allows to expand or contract the sidebar. |
3 | The "Filter" section is the list of products that you are subscribed to. |
4 | The "Tags" section is the list of tags you organize your items across all products and filter items according to tags. |
5 | "Global" is the search across all subscribed products, in selected products, or for tagged items, this advanced search also includes attachments. |
6 | "Filters" and "Order" give an option to group and sort the items by various attributes. |
7 | "Stream view" shows all new items from the selected products (with a counter), such as new emails, upcoming tasks or appointments, new chat messages, etc. |
8 | "Global User Profile" gives access to your profile and personal settings. |
Upload the profile photo¶
You can upload a photo to set as your VNCcommander profile picture.
- In the upper right-hand corner, click the avatar photo and select Profile.
- The Profile information modal window will open. Click the profile photo icon.
- Click Upload, select a required photo/picture, and crop it.
- If you have selected the photo/picture, click Done.
Change the theme¶
This feature is under development.
Set the language¶
It is possible to set 2 languages: English and German.
- In the upper right-hand corner, click the avatar photo and then select Settings.
- Select the language from the Language drop-down menu.
- Click Save.
Check VNCcommander version¶
To check VNCcommander version:
- In the upper right-hand corner, click the avatar photo.
- Navigate to Help > App Info.
Access "User Manual"¶
If you need more information about VNCcommander or need some instructions, you can access "VNCcommander Web Client User Manual".
- In the upper right-hand corner, click the avatar photo.
- Navigate to Help > User Manual.
Create an incident in VNC Service Desk¶
You can submit a support request at any time through VNC Service Desk. Adding a support request is a good option if:
- You face any issues with your VNC Software
- You want to report a bug
- You have feature requests
To add a support request:
- In the upper right-hand corner, click the avatar photo.

Navigate to Help > VNC service desk.

Fill in the fields:
The fields with the asterisk are required.
- Subject: Enter an appropriate name of the issue.
- Project: Select the project where an issue occurs.
- Customer: Select the customer.
- Product: Select the product where an incident occurs or the problem is discovered.
- Version: Select the version number of the application.
- Impact: Select the impact area.
- Urgency: Select the urgency level.
- Used hardware type: Select a hardware type where an issue occurs.
- Operating system: Select the operating system where an issue occurs.
- Browser: Select the browser where an issue occurs.
- Description: Enter a detailed description of an issue or recommendation. In your support request, try to provide as much detail as possible about the issue or recommendation.

If you want to attach some file/screenshot - click BROWSE.
- Click Create.
Access FAQ¶
- In the upper right-hand corner, click the avatar photo.
- Navigate to Help > FAQ.
Access "Terms of use"¶
A Terms of Service agreement provide details about relationship between VNClagoon products and apps and users. It sets forth clauses that embody the rules, requirements, restrictions and limitations that a user must agree to in order to use the VNClagoon products and apps.
- In the upper right-hand corner, click the avatar photo.
- Select Help > Terms of use.
Access "Data Privacy"¶
Data Privacy provides details about what type of information is collected and tracked on the website, how the information may be used, and with whom the information may be shared.
- In the upper right-hand corner, click the avatar photo.
- Select Help > Data Privacy.
Manage stream view¶
The Stream can be displayed in 4 ways:
- Table view (under development)
- Condensed view
- Detailed view
- Tile view
Select the option that’s best for you at the upper right-hand corner of your Stream.
Log out¶
- In the upper right-hand corner, click the avatar photo.
- Select Logout menu option that opens.
Chats¶
With the chat feature in VNCcommander, you can create new chat/ group chat, hold instant messaging conversations with users, use emojis, mention people, and send documents, images, or other content.
Start a chat¶
You can start the chat with a user in VNCcommander. But also you can open the chat in VNCtalk.
- Click Create new.
- Click Chat.
- If you want to start the chat in VNCcommander, click Start chat. If you want to start the chat in VNCtalk, click Open in VNCtalk.
- Search for a required user and click them.
Start a group chat¶
You can create a group chat with up to 100 participants in VNCcommander.
- Click Create new.
- Click Chat.
- Click Start group chat.
- Click the avatar icon next to the group chat name field if you want to add a group chat image. Then click Upload, select a required photo/picture, and crop it. If you have selected the photo/picture, click Done.
- Enter the name to the Group chat name field.
- Enter the group chat description in the Group chat description field.
- Under the Participants section, click Edit participants and select users you want to add to a chat. Then click Select.

Under the Privacy section, customize the following options:
- Make chat private
- Make room persistant
- Make room publicly searchable

Under the Security section, switch on OMEMO encryption toggle or leave it by default.
- Under the Tag section, enter a tag name in the field and press Enter.
- Click Create.
Reply to a chat message¶
You can reply to VNCtalk message directly in VNCcommander. It means that you can reply to the message without opening VNCtalk.
There are 2 ways to reply to VNCtalk message.
Way 1. Without opening the message.
Detailed view
- Click VNCtalk.

Hold the pointer over the message and click the reply icon .

The Chat quick preview modal window will open. Enter your response and click Enter.
Tile view
- Click VNCtalk.
- Click Reply under a required message.
- The Chat quick preview modal window will open. Enter your response and click Enter.
Way 2. Opening the message.
- Click VNCtalk.
- Click a required message. The Chat quick preview modal window will open.
- Click the kebab menu icon in the upper right-hand corner of the message you want to reply to. Then select the Reply menu option that opens.
- Enter your response and click Enter or Send button.
Copy a chat message¶
You can copy a VNCtalk message directly in VNCcommander.
There are 2 ways to copy a VNCtalk message.
Way 1. Without opening the message.
Detailed view
Tile view
- Click VNCtalk.
- Click the kebab menu icon and then select the Copy to clipboard menu option that opens.
Way 2. Opening the message.
- Click VNCtalk.
- Click a required message. The Chat quick preview modal window will open.
- Click the kebab menu icon in the upper right-hand corner of the message you want to copy. Then select the Copy to clipboard menu option that opens.
Forward a chat message¶
You can forward messages from an individual or group chat to another individual or group chat. Forwarded messages are indicated with a Forwarded label.
There are two ways to forward a chat message.
Way 1. Without opening the message.
Detailed view
- Click VNCtalk.
- Hold the pointer over required message and click the arrow icon .
- Select a required chat/ group chat or use the search field for searching.
Tile view
- Click VNCtalk.
- Click the kebab menu icon and then select the Send to menu option that opens.
- Select a required chat/ group chat or use the search field for searching.
Way 2. Opening the message.
- Click VNCtalk.
- Click a required message. The Chat quick preview modal window will open.
- Click the kebab menu icon in the upper right-hand corner of the message you want to forward to. Then select the Forward menu option that opens.
- Select a required chat/ group chat or use the search field for searching.
Send a message by email¶
- Click VNCtalk.
- Click a required message. The Chat quick preview modal window will open.
- Click the kebab menu icon in the upper right-hand corner of the message you want to send by email. Then select the Email to friend menu option that opens.
- Enter contact's name or email.
- Click the Send button.
Emails¶
With the email feature in VNCcommander, you can compose an email, reply to an email, send an email to someone not on the To or CC lines, mark/ unmark email as favorite, and etc.
Compose an email¶
You can compose an email directly in VNCCommander.
- Click Create new.
- Click Email to open up the compose window.

Fill in the following fields:
- To: Enter the user's address or click the To: label to search for an address from your address books or the company directory (Global Address List).
- CC (Carbon Copy): Specify the recipients to whom the email should be copied. When you add an email address in Cc, other recipients will be able to view the addresses.
- BCC (Blind Carbon Copy): Specify the recipients to whom the email should be copied, without exposing the email addresses to others. The other recipients will not know about the email addresses in Bcc.
- Subject: Title or a short summary of the contents of the email.

To add an attachment, click the Attach drop-down menu and select a required option:
- My Computer and Attach Inline — to attach something from your computer;
- Email — if you want to attach an email;

If you do not want to use the toolbar, check the Format As Plain Text box.
- When you're finished, click Compose. If you want to continue in VNCmail, click Open in VNCmail.
Add CC: and BCC addresses¶
The abbreviations CC: and BCC: stand for carbon copy and blind carbon copy, respectively.
- CC: allows you to send a copy of a message to someone who's interested, but is not the primary recipient. All Cc'ed recipients see the entire mailing list when they read the message.
- BCC: allows you to send a copy of a mail message to someone without specifying their address in the copies of the message sent to other recipients.
Add a CC: address
- Click Create new.
- Click Email to open up the compose window.
- In the To: address box, type your primary recipient’s email address. You can separate multiple addresses by pressing the Enter key.
- To send a copy of your email message to recipients, you must add each one as a CC recipient. Enter the email address of recipients who’ll receive a copy of the email in the CC field.
- Compose your new message and then click Compose.
Add a BCC: address
- Use the same first steps as in "Add a CC: address". Except, this time, click the BCC button.
- Enter the recipient you’d like hidden in the BCC address field.
- Compose the message and and then click Compose.
The main recipient of your email can’t see who else has been added. However, each BCC recipient will know that they’ve been BCC’ed to this email.
Add attachments to an email¶
When you compose an email message, you can attach files from your computer or email.
- Compose the message as described in the "Compose an email" section.

Click Attach and select a required option:
- My Computer and Attach Inline to attach something from your computer. Browse to any folder on your computer and select the file. Select the file and click Open, or you can drag and drop files from a folder to the compose message header.
- Email if you want to attach an email. If the email is not in your Inbox, select the folder. You can search for a message in the folder you selected. Email messages are displayed on the right. Select the message to attach.
If you share a video link, the video preview will be available inside the email. It means that you or the recipient will not need to open some external website to watch the video.

Click Compose to send the message and the attachments.
You can add attachments from your computer with drag and drop. To do that, perform the following steps:
- Select one or more files and hold down the cursor on the file(s) to be attached.
- Drag the file(s) to the message header area and release the cursor. The file names are displayed in the header.
To remove an attachment, click the cross icon next to the attachment before you send the email message.
Reply to an email¶
You can reply to VNCmail email directly in VNCcommander.
There are 2 ways to reply to VNCmail message.
Way 1. Without opening the email message.
Detailed view
- Click VNCmail.

Hold the pointer over the message and select a required option:

Enter your reply to the field and click Send.
Tile view
- Click VNCmail.
- Click Reply under an email.
- To send the new message to the original sender and all other recipients, click the kebab menu icon and then select the Reply all menu option that opens.
- Enter your reply to the field and click Send.
Way 2. Opening the email message.
- Click VNCmail.

Click a required email and click:
- Reply — if you want to reply to a perticular participant of the email;
- Reply all — if you want to reply to all participants of the email.

Enter your reply to the field and click Send.
The Reply option allows you to send the new message to the original sender. Attachments are not included.
The Reply all option allows you to send the new message to the original sender and all other recipients on the To and CC lines. Attachments are not included.
Forward an email¶
You can also forward VNCmail email directly in VNCcommander.
There are 2 ways to send the message to someone not on the To or CC lines.
Way 1. Without opening the email message.
Detailed view
- Click VNCmail.
- Hold the pointer over the message and select a forward icon .
- Recipients can be added in the To, CC, or BCC boxes. To add a recipient, click To, Cc or BCC, and then type the recipient’s name or email address in the box.
- Check the subject of the email message. The subject line for a Forward is automatically set to show “Fwd:” in front of the original message subject. You can change this by simply typing in the subject box or you can leave it as is.
- Enter some notes in the field and click Send.
The Forward option allows you to choose new recipients. Any attachments included in the original message are automatically included when you forward a message.
Tile view
Way 2. Opening the email message.
- Click VNCmail.
- Click a required email and click Forward.
- Enter a required email address to the field and click Send.
Mark an email as spam¶
This feature is under development.
Mark/ unmark an email as favorite¶
You can mark emails as favorites to make them easy to find.
When you mark an item as a favorite, it appears as a favorite in your account only. It doesn't appear as a favorite for anyone else.
- Click VNCmail.
- Click the star icon and it will turn yellow, confirming that you've marked the email as favorite.
To unmark an email as favorite, click the star icon again.
Mark an email as read/ unread¶
If you want to remember to read an email message later, you can mark it as unread. You can also mark email messages as read without opening them.
- Click VNCmail.
- Click Mark as read or Mark as unread. You should see that the email status has changed to Read/ Unread.
Tasks¶
With the task feature in VNCcommander, you can create new tasks on the fly.
Create a task¶
You can create a task directly in VNCcommander.
- Click Create new.
- Click Task.
- Enter the task name to the Task name field and customize the following block - click each icon to customize: start and due date, priority, description, and so on.
- Click Add. If you want to continue in VNCtask, click Open in VNCtask.
Preview a task¶
You can preview a task in VNCcommander without opening it in VNCtask.
- Click VNCtask.
- Search for a required task and click it. You should see the task preview form.
Edit a task¶
There are 2 ways to edit a task.
Way 1. Without opening the task.
- Click VNCtask.
- Search for a required task and hold the pointer over it, then click the kebab menu next to the task.
- Click Edit task and update the task information.
- Click Edit.
Way 2. Opening the task.
- Click VNCtask.
- Search for a required task and click it.
- Click Edit.
- Update the task information and click Edit.
Add a tag to a task¶
- Click VNCtask.
- Search for a required task and click the tag icon.
- Enter a tag name to the field select required color for it if you want.
- Click UPDATE.
Advanced search¶
Sometimes, you want to be able to get to the particular message/email/task that you're interested in. Search can help you in this scenario.
The Search box is located at the top right of your screen, in the VNCcommander header bar. To use the search, just type what you're looking for and press Enter.
To use "Advanced Search":
- Click the filter icon to open the Advanced Search page.
- Under the Basic Search section, type the search keyword in the Tag field.

Under the Advanced Search section, you can filter results by the product:
- VNCtalk: You can include attachments in your results by checking the box next to Include attachments and filter results by the sender.
- VNCmail: You can filter results by the recipient, sender, status, and folder.
- VNCtask: You can filter results by the assignee, status, and priority.

Click Search.
Another way to use Advanced Search is to:
- Type the search keyword in the search field and press Enter. That will immediately take you to the results page and open the advanced search sidebar.
- If the matches aren´t what you are looking for, you can filter results by tags and date range.
- Check the box next to Show only unread if you want to perform a search by unread messages/ emails.
- Drop-down lists enable you to filter your results by the product: VNCtalk, VNCmail, or VNCtask.
- Click Search.
Save found results as a template¶
If you want to save the search result:
- Click Save search.
- Fill in the Name field and then click Save.
