File Management & Sharing Options¶
File controls¶
In the Files view or file browser, there are three clickable options available for every file or folder:
- Mark a file/ folder as favorite (1);
- Share a file or folder (2);
- Additional options menu (3).
Mark a file as favorite¶
The starred files feature allows you to bookmark specific files so you can quickly refer back to them later.
- Hover the pointer over the file's row. Click the star
to the left of the file icon. The star will turn yellow, confirming that you've marked the file as your favorite.
- You can quickly find all of your favorites with the Favorites filter on the left sidebar.
Share a file/ folder with single users/ groups¶
- Click the share button
in the file menu.
- The share option menu for this file or folder opens on the right side, allowing you to share it with individual users or groups. Start typing a username or group name in the input field to see matching suggestions and select the required recipient.

Set specific permissions for each person or group:
- set expiration date: You can specify an expiration date after which the shared access will be revoked automatically.
- can share: The user/ group can re-share the object with other users or groups.
- can edit: The user/ group can add comments and tags and edit the object (e.g., text files).
- can change: The user/ group can edit the shared object and replace it with a newer version.
- By clicking on the trash icon
you revoke all rights for the user or the group.
Share a file/ folder via a link¶
You can share a file or folder by generating a public link, allowing others to access it without adding them as individual users.
- Click the share button
in the file menu. The share option menu for this file or folder opens on the right side, allowing you to share it with individual users or groups. Start typing a username or group name in the input field to see matching suggestions and select the required recipient.
- Navigate to the Public Links tab.
- Click the Create Public Link button.
- Enter a "Public Link Name" to help identify the link's purpose.

Choose the appropriate permission options for the link:
- Download/View: Users can only view and download the file or folder.
- Download/View/Upload: Users can view, download, and upload new files.
- Download/View/Upload/Edit: Users can view, download, upload, and edit files.
- Upload Only: Users can only upload files without accessing existing content.

(Optional) Set a password and an expiration date for the link to enhance security.
- Click Share to generate the link.
Once the link is created, you can manage it with these options:
- Copy to clipboard: Copy the link to easily share it via email, chat, or other communication channels.
- Edit: Modify the expiration date or password settings at any time.
- Share: Directly share the link via various social media platforms.
- Delete: Remove the link to revoke access, making the shared resource unavailable to others.
Manage a file¶
By selecting the additional options menu icon , you can:
- View File Details
- Rename Files
- Download Files
- Delete Files
View file details¶
To see key file details at a glance, click the additional menu icon next to a required file or folder and select Details from the dropdown menu. A pane will open on the right, displaying file or folder information along with the following tabs: Activities, Comments, Sharing, Tags, and Versions (available for files only).
To close the pane, click the cross icon in the upper right corner.
The table below outlines the tabs available in the file/folder details pane:

Details | Displays key information about the selected file or folder, including its name, size, creation date, and last update. |

Activities | Shows a chronological history of actions related to the file or folder, such as creation, updates, and sharing events. |
Comments | Allows users to add and view comments associated with the file or folder. |
Sharing | Opens the sharing menu, as described in the "Share files and folders". |
Tags | Enables users to assign one or more tags to files and folders. For more details, refer to the "Tags" section. |
Versions | Lists all previous versions of the file, allowing users to download or restore an earlier version. (This tab is not available for folders). |
Rename a file or folder¶
You can rename a file or folder without creating a duplicate.
- Click the additional menu icon

- Select Rename from the dropdown menu.
- The current name will appear in an editable text box. Enter a new name and press Enter to save the changes.
- To cancel the renaming process, press Esc — the original name will remain unchanged.
Download a file or folder¶
You can download one or multiple files or folders at the same time.
Way 1. Download a single file or folder.
- Click the additional menu icon

- Select Download from th4e dropdoen menu.
3.The file will be saved to your device. If downloading a folder, it will be compressed into a
zip
file along with its contents, including subfolders.
Way 2. Download multiple files at once.

Hover over a file’s row to reveal a checkbox, then select the required files.
💡 Tip: To select all files in the current directory, click on the checkbox located at the top of the file listing.

Select Download appearing in the top right corner.
- All selected files will be saved to your device. If folders are included, they will be downloaded as
zip
files.
Delete a file¶
No confirmation is required before removal. Once you click the trash bin icon, the item will be deleted immediately.
You can delete one or multiple files or folders at the same time.
Way 1. Delete a single file or folder.
- Click the additional menu icon

- Select Delete from the dropdon menu.
- The file or folder will be deleted immediately.
Way 2. Delete multiple files at once.

Hover the pointer over the file's row to see a checkbox.
💡 Tip: To select all files in the current directory, click on the checkbox located at the top of the files listing.

If you select multiple files, click the Delete button appearing in the top right corner.
- The selected files and folders will be deleted immediately.
Restore previously deleted files and folders¶
You can restore previously deleted files and folders to your account.
- Click Deleted files at the bottom left.
- To restore a single file or folder, click Restore on the file.

To restore multiple files or folders, check the box of each object you want to restore, and then click Restore in the top right corner.
💡 Tip: The restored items will appear in the location of your file structure, where they were once deleted.

If you click Delete, the objects are removed from the "Recycle Bin" and permanently deleted.
Creating and managing objects¶
Filter the files view¶
The the left sidebar of the Files view contains several filters for quickly sorting and managing your files.
- All files: The default selection shows all stored files and folders, starting with the top-level directory.
- Favorites: In this category you will find files or folders marked as favorites.
- Shared with you: In this category you will find all the folders and files that others have shared with you.
- Shared with others: All the content you have shared directly with other users or groups is listed here. At the end of each line, you can see whom you shared the object with.
- Shared by link: In this menu you can see which files you have shared as a link.
- Tags: You can label each file and folder using "Tags". The search bar for the tags shows you all the tags you or other users have created for selection as you type. Once a tag as been chosen, from the results list, all the files and folders that have been marked with the appropriate tag and for which you have the required access rights, are listed.
Create a folder/ text file¶
At the top of the Files view is a navigation bar. This contains a menu for uploading and creating new files and folders.

Click the plus button
in the files view and select the respective option:
- Folder, If you want to create a new folder in the current directory.
- Text file, if you want to create a new text file and add the file to the current directory.

Enter the folder's/ text file's name.
- Click Create.
The folder/ text file will be created in the current directory.
- If you open another folder before creating the new folder, you can create subfolders.
- You can also move files and folders via drag and drop to subfolders of the current directory or to the desired upper level by dropping them at the respective directory in the navigation bar.
Upload a file¶
- Click the plus button
.
- Select Upload from the dropdown menu.

The file browser dialog opens and you can select the files that you want to upload to your VNCsafe account.
- Select the files you want tu upload and then click Open.
- While the files are uploaded, a status bar shows the remaining time for the upload.

You can cancel the upload by clicking on the X button next to the status bar.
Open a file in Media Viewer¶
The Media Viewer app allows you to view images and videos with various interactive options.
Way 1. Viewing an Image
When you open an image in the Media Viewer, you can:
- Navigate images: Use the right
and left arrows
to move between images.
- Close the viewer: Click the cross button
.
- Zoom in/out: Click the magnifier button with the plus sign
to enlarge the image, or the magnifier button with the minus sign
to reduce its size.
- Download the image: Click the download button
to download.
- Rotate the image: Use the rotate button
to rotate clockwise.
Way 2. Viewing a Video
When you open a video in the Media Viewer, you can:
- Navigate images: Use the right
and left arrows
to move between images/ videos.
- Play the video: Click the play button
.
- Repeat playback: Click the replay button
to loop the video.
- Adjust volume: Click the sound button
.
- Toggle full screen: Click the full-screen button
. To exit full screen, click
.
- Download the video:
enables you to download the opened video file.
Open in a Gallery¶
The Gallery provides additional ways to interact with images:
- Navigate images: Use the right
and left
arrows to browse images.
- Slideshow mode: Click the play button
to automatically switch images after a few seconds.
- Close the viewer: Click the cross button
.
- Delete an image: Click the trash bin button
.
- Rotate the image: Click the rotate button
to rotate clockwise.
