Channels

Channels are objects that can contain Topics of various content types. Channels have the purpose to gather and structure Topics e.g. of related subjects in the same place. Social Channel is a special case of a Channel that does not contain the regular Topic content types but Social content only.

VNCchannels has the following chips to filter channels:

Name Description
all channels This is the place where you can find all the channels: public, private, favorites, and channels you are subscribed to.
public The chip is used to filter all the channels that are available for a public viewing.
private The chip is used to filter all the channels that are available only for a specific audience.
subscribed The chip is used to filter all the channels you are subscribed to.
favorites The chip is used to filter all the channels you mark as "favorite".

Each channel looks as follows:

Number Description
1 The figure displays the number of unread topics in the channel. The picture is the channel avatar.
2 The channel name.
3 The left figure displays the number of unread topics and the right figure displays the total number of topics in the channel.

Access private channels

When you create a channel, you can decide if it will be public or private. It can later be converted from public to private and vice versa.

Public channels promote transparency and inclusivity while Private channels are for information that should not be open to all members. People must be added to a private channel by a private channel author or moderator. Topic posted in a private channel can only be searched by participants of that channel.

Private channels create more focused spaces that are set based on a different area of discussion. Only the users on the team who are participants of the private channel be able to access content belonging to the channel. Anyone can be added as a member of a participant channel as long as they are already members of the team.

If a user is not a participant of the private channel, they will not be able to access that private channel. Clicking the private channel’s URL will result in a “Request access” screen:

You might want to use a private channel if you want to limit collaboration to those who have a need to know or if you want to streamline communication between a group of people assigned to specific tasks, without the burden of creating an additional team to manage.

A private channel is useful in the following scenarios:

  • a group of people in a team want a focused space to collaborate.
  • when some confidential discussions need to happen away from the view of all team members. For instance, you might need to discuss the financial structure of a project without exposing all the details to every team member.

Private channel creation rights

By default, anyone who has the right to create channels can create both types of channels and topics. Rights and access are granted and revoked in the VNCdirectory.

The person who creates a private channel is the private channel author and the private channel author can directly add or remove people from it. A private channel author can add any team member to a private channel they created. Participants of a private channel have a secure conversation space, and when new participants are added, they can see all topics in that private channel.

Only participants of private channels can see and participate in private channels that they are added to. The private channel in the channel listing will appear immediately when the user will be added to the private channel’s user list. The user will be notified via notifications about the granted access:

If a user is granted a private topic’s access in a private channel to which the user does not already have access, the user will get access for both: private channel and private topic.

Selected private topics and all public topics should be visible to the user on the channel detail page:

All public and private topics along with the private channel should hide from the user if revoked private channel’s access by the admin or unsubscribed from the private channel from the user’s own end.

Private channel author, moderator, and participant actions

The following table outlines what actions authors, moderators, and participants can do in private channels.

Create a channel

  1. Open Channels:

  2. Tap the plus icon at the bottom.

  3. Select Channel.
  4. Fill in the Channel name field.

    • If you want to add the avatar photo for the channel, tap the avatar icon next to the Channel name field. Then tap UPLOAD, select a required photo/image, and tap DONE.
  5. To add users to the channel, tap the plus icon :

    • Use the search field to find required users and tap them.
    • Search for or select a user to add to the video meeting.
    • Check the box.
    • Assign a requred role for a user: Admin or Participant.
    • Tap the checkmark at the top right.
  6. Settings allows you to make your channel private (only the channel users will be able to see the channels) or add tags.

    • Make private - you can mark a channel as private.
    • Tags - if you want that you and other users to quickly find your channel, you can add tags.
    • To save all of the changes, tap the checkmark at the top right.
  7. Add description - you can enter the channel description as needed.

  8. To save all the changes, tap the checkmark at the top right. You should see the notification stating Channel created.

Access channel information

  1. Open Channels:

  2. In the search field, type in the name of the channel you're looking for. You can also sort channels by type:

  3. Select a channel.

  4. Tap the kebab menu icon at the top right.
  5. From the menu that opens, tap Channel Info.

There’s a lot you can do in a Channel Info! Tap the pencil icon to update the image. By tapping the plus icon , you can invite users to subscribe to the channel or remove them. You can also view channel info, media, and a list of users by tapping the Info, Files, or Users tab accordingly.

Tap a user in the Users list and then the kebab menu icon to view user profile information, change a role for a user if you're a moderator, or remove them from the channel.

Access files in a channel

All attached files are stored in the "Files" tab. To find files:

  1. Open a required channel.
  2. Tap the kebab menu icon at the top right.
  3. From the menu that opens, tap Channel Info.
  4. Select Files tab:

Here you can find all attached image(s)/video(s) by entering the keyword in the search field.

When you search, you have these options:

  • Sort results by date, topic, or user: Below the search field, tap the channel option and select Date, Topic, or User from the dropdown.
  • Start a new search: Tap in the search field.
  • Open a file: Tap it.
  • Download a result: Tap it and then .
  • Share a result outside of Channel: Tap it and then . In the Send to box that pops up, select or search for a chat/group chat you want to send the file and tap it. You have the option to add a comment to your message. Once done, tap Send.

Tapping the kebab menu icon will also reveal additional actions:

  • Copy To Clipboard
  • Email to a friend
  • Delete

Additionally, you're able to perform an action on multiple files in one go, allowing you to save time and be more efficient.

  1. Touch and hold the file that you want to perform an action.
  2. Tick them and the bulk action check box will appear:

  3. From there, select the action you'd like to apply to all of these selected files:

Change display of files

Files can be displayed in two ways - list or tiles. To change the display for files:

  1. Open a required channel.
  2. Tap the kebab menu icon at the top right.
  3. From the menu that opens, tap Channel Info.
  4. Select Files tab:

  5. Tap or to change to the view you want to see.

Change a user's role

Each member in a channel has a specific role. Based on these roles, permissions can be enabled to users.

There are 3 roles that users can be categorized into: Author, Moderator, Regular User.

  • Author (): Author is the creator of the channel and can perform all actions in a channel.
  • Moderator (): Moderator is next to authors and the role of a moderator is assigned to users by author.
  • Regular users: All the other users in the channel are considered as regular users.

Authors can assign a role to any member and even change it later on.

To change a user's role:

  1. Open Channels:

  2. Select a channel.

  3. Tap the kebab menu icon at the top right.
  4. From the menu that opens, tap Channel Info.
  5. Tap the Users tab:

    Here, you can toggle between viewing All or Active users in your channel:

  6. Tap a user and then the kebab menu icon to reveal additional actions.

  7. Select Make a moderator if a user has a regular user role or Make a regular user if a user is a moderator.
  8. When prompted, tap CONFIRM to confirm that you want to change a user's role.

Search for a channel

  1. Open Channels.
  2. Enter a channel name to the search field:

You can check all found results in Channels. The results are highlighted in blue.

Pin a channel

Some channels deserve to be prioritized and viewed at a glance.

The pin channel feature allows you to pin specific channels to the top of your channels list so you can quickly find them. You can select up to 5 channels to pin at once.

  1. Open Channels.
  2. Search for a required channel.
  3. Tap and hold on the channel, then tap Pin channel. You should see the pin icon next to the channel.

Other way is to open the channel, then tap the kebab menu at the top right and tap Pin channel.

Unpin a channel

  1. Open Channels.
  2. Search for a required channel.
  3. Tap and hold on the channel, then tap Unpin channel.

Other way is to open the channel, then tap the kebab menu at the top right and tap Unpin channel.

Add a channel to "Favorite" list

  1. Open Channels.
  2. Search for a required channel.
  3. Tap and hold on the channel, then tap Add to Favorites.

Other way is to open the channel, then tap the kebab menu at the top right and tap Add to favorites.

View a list of favorite users

Users, marked as "favorite", are added to a "Favorite" list. You can access the list simply by tapping Favorite tag:

Remove a channel from "Favorite" list

  1. Open Channels.
  2. Tap favorites.
  3. Tap and hold on the channel, then tap Remove from Favorites.

Other way is to open the channel, then tap the kebab menu at the top right and tap Remove from Favorites.

Edit a channel

Only Channels Moderator can edit channels information.

  1. Open Channels.
  2. Use the search field to find a required channel.
  3. Tap and hold on it, then tap Edit channel.
  4. Update the channel information and tap the checkmark at the top right.

Other way is to open the channel, then tap the kebab menu at the top right and tap Edit channel.

  1. Open Channels.
  2. Search for a required channel.
  3. Tap and hold on it, then tap Copy link.

You can also open the channel, then tap the kebab menu at the top right and tap Copy link.

Subscribe to a channel

  1. Open Channels.
  2. Search for a required channel.
  3. Tap and hold on it, then tap Subscribe to the channel.

You can also open the channel, then tap the kebab menu at the top right and tap Subscribe to the channel.

To unsubscribe from a channel

  1. Open Channels.
  2. Search for a required channel.
  3. Tap and hold on it.
  4. Tap the kebab menu next to the channel and then Unsubscribe from the channel.

You can also open the channel, then tap the kebab menu at the top right and tap Unsubscribe from the channel.

Mute a channel

  1. Open Channels.
  2. Tap and hold on the channel, then tap Mute channel.

You can also open the channel, then tap the kebab menu at the top right and tap Mute channel.

Unmute a channel

  1. Open Channels.
  2. Tap and hold on the channel, then tap Unmute channel.

You can also open the channel, then tap the kebab menu at the top right and tap Mute channel.

Add a user to a channel

Only Channels Moderator can add users to channels.

  1. Open Channels.
  2. Tap and hold on the channel, then tap Edit channel.
  3. Tap the plus icon .
  4. Use the search field to find required users and tap them.
  5. Tap the checkmark at the top right.
  6. To save the changes, tap the checkmark again .

You can also open the channel, then tap the kebab menu at the top right and tap Edit channel.

Remove a user from a channel

Only Channels Moderator can remove users from channels.

  1. Open Channels.
  2. Tap and hold on the channel, then tap Edit channel.
  3. Tap the plus icon .
  4. Remove the tick next to a required user.
  5. Tap the checkmark at the top right.
  6. To save the changes, tap the checkmark again .

You can also open the channel, then tap the kebab menu at the top right and tap Edit channel.

  1. Open Channels.
  2. Tap and hold on the channel, then tap Send to.
  3. Select or search for a required user(s) and tap it.
  4. Tap SEND at the bottom. You should see the notification stating Link sent.

You can also open the channel, then tap the kebab menu at the top right and tap Send to.

Archive a channel

Only Channels Moderator and Channel Owner can archive/unarchive channels at any time. Regular users can still visit an archived channel, but won't be able to make any changes in that channel.

Archiving channels allows you better organize and vizualize channels. When you archive a channel, it will no longer appear in your Channels list.

  • Archiving a channel doesn't delete the channel.
  • You will not receive notifications for archived channels unless you're mentioned or reply to.

To archive a channel:

  1. Open Channels.
  2. Tap and hold on the channel.
  3. From the drop-down menu that opens, tap Archive channel.
  4. Confirm that you want to archive the channel, tap ARCHIVE in the modal window.

You can also open the channel, then tap the kebab menu at the top right and tap Archive channels.

Move a channel to trash

Only Channels Author can move a channel to trash.

  1. Open Channels:

  2. Use the search field to find a channel you want to move to trash.

  3. Open the channel by tapping it.
  4. Tap the kebab menu icon at the top right and then Move to trash.
  5. You should see the notification stating Channel moved to trash successfully.

Delete a channel

Only Channels Moderator can delete channels.

  1. Open channels.
  2. Tap and hold on the channel, then tap Delete channels
  3. Confirm that you want to delete the channel, tap DELETE in the modal window. You should see the following notification stating Channel deleted.

You can also open the channel, then tap the kebab menu at the top right and tap Delete channels.

Topics

Topics are articles or blog posts that can be created using various Content Types:

You can create 3 topics types:

  • Topic(regular) is a generic article that can contain a wide variety of content such as text, images, files, videos. It is similar to a blog post.
  • Video Topic is for adding a video as the main object in a Topic. The video can be uploaded as a file or linked from a video service (Youtube, Vimeo...). Furthermore, you can add a description that explains the video or gives additional information.
  • Analysis topic is a special type of topic, which has similar functionalities as a regular topic content type, but serves a different purpose. An analysis topic is a condensation of e.g. research texts, fact finding documents or comprehensive studies and has the goal to deliver a concise version of something, especially a text. The Smart Objects used in Analysis Topics are in particular:

    • Smartlink is an object that contains links to various objects (Channels, Topics, comments, chats, emails, files, broadcasts, tasks) within VNClagoon. A Smartlink can also contain multiple links.
    • Highlight is an object that highlights and emphasizes text (one word or a phrase) that is of specific importance to the author.
    • Sticky note is an object that allows to add a meta comment to a selected word or phrase. A sticky note may have 6 colors.
    • Reference is an object delivering further information inside a Topic article about source documents, quotes or background information. The in-text references or citations are placed next to the text that is paraphrased or quoted. The full details of all references are shown as a list of numbered footnotes at the end of the article, similar as in Wikipedia.

The Topic author can add task and workflow functions to any Topic content type, such as priority, due date, assignee, etc. These task and workflow functions can also be added to a word or phrase within a Topic.

The Topic author can @mention specific users within a Topic text or in Comments. The Topic author can schedule the Topic's publish date/time.

Access private topics

When you create a topic, you can decide if it will be public or private. It can later be converted from public to private and vice versa.

A public topic is visible to any members of the team. Any member can subscribe to a public topic by selecting a topic displayed on the channel detail page:

A private topic is only visible to its participants. When you create a new topic, you can choose it to be public or private according to the topic’s purpose.

If a user is not a participant of the private topic, they will not be able to access that private topic. Clicking the private topic’s URL will result in a “Request access” screen:

Only the participants of the private topic can see the private topic on the channel detail page.

Private topic creation rights

By default, anyone within a Team can create both types of channels and topics. Rights and access are granted and revoked in the VNCdirectory.

Create a text topic in a channel

To create a text topic in a channel:

  1. Tap the Channels tab:

  2. Tap the plus icon at the bottom right.

  3. Select Topic:

  4. Fill in the Topic name field.

  5. To set the topic header, tap the pencil icon .
  6. To select a channel where you want to publish the topic, tap Select a channel. Then check the box next to a channel where you want to publish the topic and tap the arrow icon .
  7. To add an attachment, tap Attachments. Then tap the plus icon. Select a required file/photo/image from your device and tap the arrow icon .
  8. To add a related object to the topic, tap Related Objects. Then check the box next to a required object. Finally, tap the checkmark icon at the top right.
  9. From Settings, you're able to:

    • Make your topic private (only the channel users will be able to see the topic) by checking the Make private box.
    • Disable comments by checking the Disable comments box.
    • Add tags. To add a tag, enter a tag name to the New Tag field and tap Enter. Finally, save the changes, tap the arrow icon .
  10. To schedule your post to be sent at a later date, tap Schedule. Then check the Schedule a Post box and make your schedule selections:

    • Publish Date - set a date and time when the post is published.
    • Expiry Date - set a date and time when the post is archived.

    Once done, tap the checkmark icon at the top right.

  11. To add the topic description, tap Add description and enter a text to the field. The field supports mentions and tags. To mention somebody, use @. To add a tag, use #.

  12. To add photos, videos, files, smartlinks to your description, you need to enable the Rich Text Format option by tapping the Rich Text Format icon at the bottom of the screen:

  13. To upload a picture/photo/file, tap and selecting an image from your phone.

  14. To attach a video, tap . Then enter the video URL in the field and tap Save.
  15. To insert a smartlink, hold some text and tap. Then enter the URL in the field and tap Save.
  16. To save all the changes, tap the checkmark at the top right. You should see the notification stating Topic created. Your topic will be appeared in the channel.

Create a video topic in a channel

To create a video topic in a channel:

  1. Tap the Channels tab:

  2. Tap the plus icon at the bottom right.

  3. Select Video topic:

  4. Fill in the Topic name field.

  5. Select from the following options:

    • Add embedded video - to add the video URL.
    • Drop or select a video - to select the video from your device.
  6. To select a channel where you want to publish the topic, tap Select a channel. Then check the box next to a channel where you want to publish the topic and tap the arrow icon .

  7. To add an attachment, tap Attachments. Then tap the plus icon. Select required file/photo/image from your device and tap the arrow icon .
  8. To add a related object to the topic, tap Related Objects. Then check the box next to a required object. Finally, tap the checkmark icon at the top right.
  9. From Settings, you're able to:

    • Make your topic private (only the channel users will be able to see the topic) by checking the Make private box.
    • Disable comments by checking the Disable comments box.
    • Add tags. To add a tag, enter a tag name to New Tag field and tap Enter. Finally, save the changes, tap the arrow icon .
  10. To schedule your post to be sent at a later date, tap Schedule. Then check the Schedule a Post box and make your schedule selections:

    • Publish Date - set a date when the post is published.
    • Expiry Date - set a date when the post is archived.

    Once done, tap the checkmark icon at the top right.

  11. To add the topic description, tap Add description and enter a text to the field. A description can contain photos, videos, links, smartlinks, emojis, and text. Once done, tap the checkmark at the top right.

  12. To save all the changes, tap the checkmark at the top right. You should see the notification stating Topic created. Your topic will be appeared in the channel.

Create analysis topic in a channel

To create a video topic in a channel:

  1. Tap the Channels tab:

  2. Tap the plus icon at the bottom right.

  3. Select Analysis topic:

  4. Fill in the Topic name field.

  5. To set the topic header, tap the pencil icon .
  6. To select a channel where you want to publish the topic, tap Select a channel. Then check the box next to a channel where you want to publish the topic and tap the arrow icon .
  7. To add an attachment, tap Attachments. Then tap the plus icon. Select a required file/photo/image from your device and tap the arrow icon .
  8. To add a related object to the topic, tap Related Objects. Then check the box next to a required object. Finally, tap the checkmark icon at the top right.
  9. From Settings, you're able to:

    • Make your topic private (only the channel users will be able to see the topic) by checking the Make private box.
    • Disable comments by checking the Disable comments box.
    • Add tags. To add a tag, enter a tag name to the New Tag field and tap Enter. Finally, save the changes, tap the arrow icon .
  10. To schedule your post to be sent at a later date, tap Schedule. Then check the Schedule a Post box and make your schedule selections:

    • Publish Date - set a date and time when the post is published.
    • Expiry Date - set a date and time when the post is archived.

    Once done, tap the checkmark icon at the top right.

  11. To add the topic description, tap Add description and enter a text to the field. The field supports mentions and tags. To mention somebody, use @. To add a tag, use #.

  12. To add photos, videos, files, smartlinks to your description, you need to enable the Rich Text Format option by tapping the Rich Text Format icon at the bottom of the screen:

Add a sticky note

"Add a sticky note" option is available only if you select an Analysis topic type.

While creating a topic, you can add a meta-comment to a selected word or phrase.

  1. Touch and hold a required word/sentence to open a menu. Then select Sticky note:

  2. On the Sticky Note screen, enter your text. Here, you can format a text, add an image, attach a video, or insert a link. You can also change the background color.

  3. Once done, tap at the bottom right.

Edit a sticky note

You can change the appearance of a sticky note or edit its content.

  1. Tap the sticky note:

  2. On the Sticky Note screen, tap the kebab icon at the top right.

  3. From the drop-down menu that opens, select Edit. You can edit the text of your sticky note or change the note background color.
  4. Once done, tap the arrow icon .

Delete a sticky note

  1. Tap the sticky note:

  2. On the Sticky Note screen, tap the kebab icon at the top right.

  3. From the drop-down menu that opens, select Delete.
  4. Once done, tap the arrow icon .

Search for a topic

  1. Open Channels.
  2. Enter a topic name to the search field:

You can check all found results in Topics. The results are highlighted in blue.

Edit a topic

  1. Open Channels.
  2. Tap and hold on a required topic, then tap Edit topic.
  3. Edit the topic information and tap the checkmark at the top right.

Other way is to open a topic, tap on the kebab menu at the top right and then Edit topic.

Upload a file to a topic

  1. Open Channels.
  2. Use the search field to find a channel where a required topic is located.
  3. Select a topic to which you want to add a file.
  4. Tap the kebab menu at the top right and then Add files.
  5. Select a required file from your phone.

Browse files

From your phone, you can browse files added to any topic. All uploaded files are visible in Attachments section under the topic:

Other way to browse files:

  1. Open the topic where you want to access files.
  2. Tap the notebook icon at the top right.
  3. Tap Files.

Here you can find all attached image(s) or document(s) by entering the keyword in the search field.

When you search, you have these options:

  • Sort results by date or user: Below the search field, tap the Sort by option and select Date or User from the dropdown.
  • Start a new search: Tap in the search field.
  • Open a result: Tap it.
  • Download a result: Tap at the top right.
  • Send a result to a chat/group chat: Tap at the top right. In the Send to box that pops up, select or search for a chat/group chat you want to send the file and tap it. You have the option to add a comment to your message. Once done, tap Send.
  • Email a result to a friend: Tap the kebab menu at the top right. From the drop-down menu, select Email to a friend. In the Email to friend box that pops up, fill in the fields and then tap Send.
  • Delete a file: Tap the kebab menu at the top right. From the drop-down menu, select Delete file. Confirm that you want to delete the topic, tap Delete in the modal window.

Change display of files

Files can be displayed in two ways - list or tiles. To change display for files:

  1. Open the topic where you want to browse files.
  2. Tap the notebook icon at the top right.
  3. Tap Files.
  4. Tap or to change to the view you want to see.

Subscribe to a topic

  1. Open Channels.
  2. Tap the channel where a required topic is located.
  3. Tap and hold on the topic, then tap Subscribe to the topic.

Other way is to open the topic, tap the kebab menu at the top right and then Subscribe to the topic.

Unsubscribe from a topic

  1. Open Channels.
  2. Tap the channel where a required topic is located.
  3. Tap and hold on the topic, then tap Unubscribe from the topic.

Other way is to open the topic, tap the kebab menu at the top right and then Unsubscribe from the topic.

Mark a topic as read/unread

  1. Open Channels.
  2. Tap the channel where a required topic is located.
  3. Tap and hold on the topic, then tap Mark as Read.

Other way is to open the topic, tap the kebab menu at the top right and then Mark as Read.

Archive a topic

You can archive only topics created by you.

  1. Open Channels.
  2. Tap the channel where a required topic is located.
  3. Tap and hold on the topic, then tap Archive Topic.
  4. Confirm that you want to archive the topic, tap ARCHIVE in the modal window.

Other way is to open the topic, tap the kebab menu at the top right and then Archive Topic.

View an archived topic

Add a comment to a topic

You can add a comment to a topic if comments are not disabled for it.

  1. Open Channels.
  2. Tap the channel where a required topic is located.
  3. Open the topic, scroll down and then tap Add a comment.
  4. Enter your comment in the New comment field and tap the checkmark at the top right.

Move a topic to another channel

You can move only topics created by you.

  1. Open Channels.
  2. Tap the channel where a required topic is located.
  3. Tap and hold on the topic, then tap Move to channel.
  4. On the Move to page, enter a name of the channel you want to move a topic to or choose from the suggested channel list.
  5. Tap MOVE at the bottom. You should see the notification stating Topic moved to "attachment channel" channel.

Other way is to open a required topic, tap the kebab menu at the top right and then Move to channel.

  1. Open Channels.
  2. Tap the channel where a required topic is located.
  3. Tap and hold on the topic, then tap Copy link. You should see the notification stating Link copied to the clipboard.

Other way is to open a required topic, tap the kebab menu at the top right and then Copy link.

  1. Open Channels.
  2. Tap the channel where a required topic is located.
  3. Tap and hold on the topic, then tap Send to.
  4. On the Send to page, enter a name of the person you want to send a topic to or choose from the suggested account list.
  5. You have the option to add a comment to your message.
  6. Tap Send. You should see the notification stating Link sent.

Other way is to open a reuired topic, tap the kebab menu at the top right and then Send to.

Like a topic

  1. Open Channels.
  2. Tap the channel where a required topic is located.
  3. Tap the like button on the topic and it will turn red, confirming that you've liked the post.

Customize the display of topics

There are 3 modes to display topics in a channel: Tile and List.

  1. Open Channels.
  2. Tap a required channel.
  3. Tap or to change to the view you want to see.

Share a topic

  1. Open Channels.
  2. Tap the channel where a required topic is located.
  3. Top and hold on the topic, then tap Share.

Other way is to open the topic, tap the kebab menu at the top right and then Share:

Delete a topic from a channel

  1. Open Channels.
  2. Tap the channel where a required topic is located.
  3. Top and hold on the topic, then tap Delete Topic
  4. Confirm that you want to delete the topic, tap DELETE in the modal window. You should see the notification stating Topic deleted.

Other way is to open the topic, tap the kebab menu at the top right and then Delete Topic.
