VNClagoon AI Webclient User Manual

This user manual provides step-by-step guidance for using VNClagoon AI features across VNCtalk and VNCfluid with the key benefits of

  • Privacy: Local backend processing ensures data stays on-premise.
  • Accessibility: Available in VNCtalk (chats) and VNCfluid (dashboard).

VNClagoon AI, when deployed, is accessible as a plugin for VNCtalk through the AI agent Vincent and via dashlet on the VNCfluid dashboard.

VNClagoon AI Webclient User Manual

To enable VNClagoon AI, your VNClagoon installation must have the OVMS backend installed and properly configured as a prerequisite for activating AI features within VNClagoon applications.

1. Access VNClagoon AI via VNCfluid Dashboard

  • Open the Dashboard: Log into VNCfluid with valid VNClagoon credentials and locate the AI dashlet:

  1. Within the AI prompting interface, users can select between internal (RAG) and external (LLM) data sources to define which dataset the AI agent references when processing prompts.
  2. Once decided, you can enter your queries or prompts to the AI agent into the input field.

  3. The color of the icon indicates whether internal data is being used by the AI to process your input:

    • Blue: Active: internal data is used
    • Grey: Inactive: internal data is not used

All responses will be received within the same dashlet.

2. Interact with the AI agent using the VNCtalk web client

  • Open VNCtalk web client: Log into VNCtalk with valid VNClagoon credentials

1:1 Chat with AI agent "Vincent"

  1. To start a chat with Vincent,

    • Click on the "+" icon in the top-left area of the VNCtalk UI
    • in the drop-down menu, select Start AI Chat

  2. This will open a 1:1 Chat with the AI Agent Vincent, with whom you can interact by typing prompts (e.g., questions, requests) into the input field and receive responses in the main chat window.

    • It will also add the conversation with Vincent to your recent list in the left pane of the VNCtalk interface, from where you can now quickly access the chat for further AI queries:

    • If you want to use the AI Agent regularly, you can either Add Agent Vincent to favorites (1) or Pin the chat (2) by using the three-dot-menu:

  3. Below the input mask are the following symbols, explained from left to right:

    • Settings
    • Attach file
    • Use Internal Data

    3.1. AI settings: Here you can tweak how the AI will process your prompts. On click, it opens the AI settings page in the right side bar:

    Providing you with the adjustable parameters

    • Max_new_tokens: Set 0-1000 (e.g., 200 for medium responses).
    • Temperature: 0-4 (low for precise, high for creative; e.g., 0.5 for balanced).
    • Top_p: 0-1 (low for conservative, high for diverse; e.g., 0.3 for technical).
    • Top_k: 1+ (low for focused, high for varied; e.g., 150 for writing).

    Apply: Save for task-specific optimization (e.g., low values for technical docs, high for creative content).

    Example Table for Settings:

    Activating the Clear chat history switch allows you to specify the duration for which the chat history with Vincent is stored. The following options are available:

    - 90 days
    - 7 days
    - 24 hours
    - Off (which has the same effect as deactivating the switch)
    

    3.2. Attach file:

    Click the paper clip icon to upload files you want to share with the VNClagoon AI agent to the chat.
    This will open the file picker of your OS, allowing you to select the file(s) you want to have processed by the AI. Currently many file types are supported, for example:

        txt, docx, pdf, csv, xlsx, jpg, png, gif, mp3, wav, mp4, etc.
    

    Now, a blue thumbnail icon appears below the input mask, indicating that it can be used for prompting

    Next, enter your prompt, regarding the AI's desired interaction with the attached file(s), into the input mask.
    VNClagoon AI currently supports tasks like

    - Translate (EN <-> DE)
    - Summarize (Documents/ Texts/ Video/ Audio)
    - Ask Questions about the attached file's content
    

    3.3. Use Internal Data switch:

    Activate/ deactivate per click. The icon color shows whether the AI is actively using internal data to process your input.

    • Blue: Active: internal data is used
    • Grey: Inactive: internal data is not used

Group Chat with AI agent in VNCtalk

Create/Add to Group: Start a new group chat or add the AI agent to an existing one via participant list.

  1. To create a new group chat, click "+" and select New group chat from the opening dropdown menu

  2. Add participants (+) to the Group chat, including the AI agent Vincent.

  3. To add Agent Vincent to any existing groupchat and access the KI features in group discussions, just open "Participants" and add Agent Vincent, like any other new participant.

  4. When done, finish the group chat creation by clicking CREATE.

  5. In order to interact with the AI agent in a group chat, you need to mention the AI agent, meaning, use

        "@Agent Vincent [Question]"
        (e.g., "@Agent Vincent How is the weather in Berlin today?").
    

    and make sure, that you clicked the AI button in the lower button bar of the group chat interface

    The indicator color of the AI button informs you, whether the AI-Agent is enabled or disabled:

    • blue --> enabled
    • grey --> disabled
  6. Now click the SEND button, to submit your prompt.

    In case the AI is active, your input will be recognized as an AI prompt, indicated by the Prompt tag in the chat window. The AI will then start processing your input, a colored spinner animation will appear next to the AI agent's avatar in the chat window.

    The AI response is presented in form of a chat message sent by the Agent Vincent, once the processing has been completed.

    If the Prompt tag is missing, your input has not been recognized as a prompt but only as a standard chat message.

Compare documents

VNClagoon AI offers an interface to compare multiple documents according to user definable criteria.

  1. To compare documents in VNCtalk, click "+" and select Compare Documents with AI from the opening dropdown menu

  2. In the opening dialog, click the paper clip icon to upload the files you want to compare. This will open the file picker of your OS to select the files

  3. The uploaded files will be listed in the Selected Files section once the process is complete.

  4. Optional: Add an additional prompt to give the AI specific instructions for how the documents should be compared.

  5. Click Compare to start the comparision

  6. AI agent will then provide the comparison analysis into the Comparison Result field. If no special prompt is provided, the output will follow this default structure:

    • Key Themes Comparison
    • Similarities & Differences
    • Unique Insights (from each document)
    • Actionable Conclusions
    • Response to User Request

VNClagoon AI prompts and operations on attachments

Translate documents and texts

VNClagoon AI enables users to translate documents and texts between different languages quickly and concisely. The texts for translation can be

  • provided to Vincent as payload in a prompt, where the text to translate is encapsulated into quotation marks, like

    Please translate me this text into English: "<paste text to translate>"
    
  • or the text to translate can be uploaded as file-attachment via the paper clip button, along with a prompt like this:

    Please translate the attached document into German.
    

Summarizing documents, conversations or texts

  • Upload a document or enter text to summarize, enclose in quotes
  • Prompt: "Please summarize this [specify format, e.g., in 100 words or 5 bullets]", e.g.

    "Summarize the key points from this chat."
    
  • Vincent will then provide the respective overview as reply in the chat window.

Summarize content of video/audio files and recordings

  • Upload mp3, mp4, wav file in chat or enter file URL
  • Prompt:

    "Summarize the content of this video/audio file" or
    "What's the speaker talking about? [URL]" or
    "Provide the key points from [URL]".
    
  • Vincent will then provide the respective summary as reply in the chat window.

Asking AI agent for specific content of attached documents

  • Upload document (e.g., PDF) in chat or enter file URL, e.g., a document that contains information about VNClagoon
  • Prompt:

    "What is VNClagoon? Refer to [file name]".
    
  • Vincent will then provide the respective information extracted from the uploaded/ linked document as reply in the chat window.

Schedule meetings with VNClagoon AI via VNCtalk

  1. To schedule a meeting in VNCtalk with the help of the AI agent, click "+" and select
    Schedule meeting with AI from the dropdown menu

  2. In the opening input mask, enter a topic and click the "+" button to add the desired meeting participants

  3. Now search and add the desired participants to the participant list and click SELECT when you are done.

    Option: External users can be added in the meeting by entering the email addresses manually.

  4. Back in the Schedule meeting interface, you can now provide further details about the meeting, including the topic, location, date, time, duration, attendees, and purpose.

  5. When done, click Generate in the bottom left corner.

  6. AI agent will then start generating an invitation including a meeting agenda, based on the information you provided into the Generated content field.

  7. You can also update the names of the participants and edit the texts if necessary. When done, click Schedule to create the meeting in VNCtalk. It will also be added in your VNCmail calendar and send invitations by email to the participants.
